Job Summary The primary responsibility of this position is to perform the accounts payable function and support the business office operations of the Bookstore. Other responsibilities include generating and retrieving reports, invoicing merchandise, coding and processing vouchers, requisitions, and other documents; communicating with vendors, departments and customers regarding billing and invoice concerns, and assisting callers and visitors with financial, general and merchandise questions. Occasional assistance on the retail sales floor including cashiering is required of this position.

Essential Functions
  • Receives, examines, codes, approves, enters, posts and/or processes vouchers, forms, reports, requisitions, and other documents.
  • Originates, prepares vouchers, forms, letters, papers, schedules, reports and other documents and resolves inconsistencies and errors with appropriate persons.
  • Monitors and communicates with vendors, departments, and customers regarding payments, billings and other contract or invoice concerns.
  • Collects, handles, and accounts for cash, checks, money orders and other forms of payments.
  • Assembles budget data for supervisor and performs accounting and budgeting verification in regards to payables and inventories.
  • Supports implementation of new or modified financial systems.
  • Advises staff, faculty, and students of standard policies and procedures.
  • Operates standard office equipment including, but not limited to a laptop, copier and printer.
  • May perform various support functions including, but not limited to making meeting, seminar, and travel accommodations, answering phones, greeting visitors, handling mail, maintaining inventories, and preparing HR-related paperwork.

Minimum Skills, License, and Certifications

Minimum Skills and Abilities The successful candidate will be personable, detail minded, comfortable with basic math, and have a demonstrable work history of good judgment, integrity, initiative, and work ethic.
Minimum Technology Skills Experience with Excel and Word are required; the candidate must have the technical savviness to quickly master proprietary software programs and computer systems.

Desired Qualifications

Desired Qualifications Preferred qualifications include intrinsic curiosity and puzzle-solving skills, desire to provide an outstanding customer experience, team player, experience with Banner; 2-3 years accounts payable experience; retail sales and customer service experience.
