Position Overview Advise and counsel students and families concerning eligibility for financial aid, professional judgment, loan requirements, and special circumstances. Counsel and guide internal and external customers about financial aid processes. Present scholarship and financial aid information to audiences on and off campus. Develop, analyze, and review reports to determine eligibility for federal, state and institutional financial aid and scholarship programs. Apply financial aid policies and procedures to process student financial aid records.
Unit Overview The University of Idaho Strategic Enrollment Management Division (SEM) assists students academically and financially to pursue their educational goals. We believe that learning never stops. University of Idaho can help learners continue their education face to face, online, while in high school, as a next step from secondary school, or for professionals who wish to continue to advance their education. SEM departments include: Admissions Processing, Admissions Recruitment, Academic Advising, Academic Support Programs, Career Services, Enrollment Management, International Programs Office, Military Programs, Registrar, and Student Financial Aid Services.
The Student Financial Aid Services team supports students learning objectives by helping them find ways to fund their education. We counsel students through the financial aid process and ensure compliance with aid regulations.

Position Responsibilities

Key Accountability Provide financial aid counseling services to internal and external customers from diverse cultural and socio-economic backgrounds by:
Job Duties
  • Supporting student and families file their FAFSAs.
  • Answering financial aid inquiries.
  • Coordinating outreach events and conduct presentations.
  • Assisting in the development of promotional and informational material.
  • Educating internal and external personnel on financial aid and scholarship programs and processes.
  • Assisting students and parents in the financial aid and scholarship application process.
  • Advising current and prospective students and families on application processes, eligibility criteria, appeals, and professional judgments.
Key Accountability Use admission and federal financial aid application data to determine eligibility for and process federal, state, and institutional student financial aid and scholarship programs by:
Job Duties
  • Creating communication to students.
  • Generating reports for internal/external use.
  • Providing financial aid information to interested parties.
  • Evaluating, verifying, and revising student financial aid and scholarship packages.
  • Coordinating with other agencies to process financial aid and scholarships.
Key Accountability Maintain compliance with established regulations, procedures, and policies of financial aid and scholarship programs by:
Job Duties
  • Exchanging data records and ensuring accuracy in federal, state, and institutional databases.
  • Collecting documents to ensure data accuracy.
  • Reconciling federal, state, and scholarship data with internal and external agencies.
  • Tracking and reporting data.
Key Accountability Contribute to the Student Financial Aid Services team by:
Job Duties
  • Coordinating with staff to assess effectiveness of communications.
  • Evaluating departmental communication strategies to identify the most effective methods of communication based on constituent needs and appropriate communication times.
  • Exploring and implementing new technologies and avenues for communication.
  • Writing and distributing engaging, professional communications.
Key Accountability Maintain expert knowledge of federal, state, and institutional financial aid and scholarship policies and procedures by:
Job Duties
  • Cross training with colleagues and participate in professional development opportunities.
  • Implementing, reviewing, organizing, and updating procedures.
  • Assisting students to resolve issues with outside agencies.
  • Assisting students in maximizing financial aid and scholarship eligibility.
Key Accountability Convey information on complex financial aid and scholarship regulations, policies and procedures to internal university personnel by:
Job Duties
  • Coordinating the disbursement of financial aid and scholarship funds.
  • Reconciling accounts.
  • Providing financial aid and scholarship fund information to assist in the appropriate use of funds.
  • Explaining policies and procedures for financial aid and scholarship programs.

Position Qualifications

Required Experience
  • Experience interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs.
  • Experience analyzing information and researching a variety of sources to identify and resolve problems or issues.
  • Experience entering and retrieving data using a computerized record system.
  • Experience compiling/maintaining data and organizing data and information into written reports.
Required Education
Required Licensures, Certifications or other
Additional Preferred
  • Bachelor’s degree or equivalent combination of related experience and education.
  • Master’s degree in an area that involves working with student personnel, counseling, higher education, or a related field.
  • Knowledge of federal aid regulations and programs, and the UI scholarship program.
  • Knowledge of university financial aid, admissions, registration and course work progress patterns • Experience with SCT Banner.
  • software, Excel or Access and word processing programs.
  • Experience working with high school and/or college students • Experience with financial aid packaging.
  • Ability to communicate effectively orally and in writing.
  • Ability to establish and maintain effective working relationships.
  • Ability to work independently in completing projects.
  • Ability to work professionally with people from a wide variety of cultural and socio-economic backgrounds.
