Finance & Logistics Officer

Part-time, 20-24 hours per week

*Important: this position can only be filled by someone who has the legal right to live and work in Greece (EU nationals or Visa holders).

Where will you work?
Boat Refugee Foundation provides medical and psychosocial emergency and primary care and stands up for the rights of people seeking safety and refuge in Europe. We work in locations that receive little attention and resourcing and where basic services, including healthcare, are lacking. Since 2015, we have been working in various locations at the borders of Europe. Currently we have programmes on Lesvos and in Athens.

What will you do?
As Finance and Logistics Officer you are responsible for on-site financial administration and general operational logistics.

Finances

You are responsible for tracking the day-to-day expenses of the Lesvos programme, handling cash payments and staff reimbursements, and methodically filing receipts for internal financial reporting. Food jar and volunteer housing contributions are also carefully tracked and managed to ensure consistency. The programme’s finances are reported to the Finance Officer based in the Netherlands each week, and are reported to the Area Manager North Aegean on a monthly basis. Greek expenses are filed with the Greek accountant for compliance with local tax regulations.

Logistics

You will ensure all our operations run smoothly by ensuring that means of transport, workspaces and volunteer accommodations are well maintained and in order. All operational equipment is also regularly maintained and checked, while any external repairs are arranged with the relevant internal approval. You will support the Medical Coordinator with procurement tasks to ensure medication and supplies for the medical programme are in place.

Your responsibilities:

  • Tracking and monitoring of day-to-day operational finances under the supervision of the Finance Officer in the Netherlands and Area manager North Aegean.
  • Coordination of office management/activities/expenses, together with other BRF staff.
  • Management of transport logistics, such as car rentals.
  • Maintenance of the mobile clinic, generator, and other operational equipment under the supervision of the Area manager North Aegean.
  • Procurement and stock management of office equipment and supplies.
  • Coordination with Support Crew volunteers for maintenance/restocking tasks.
  • Taking the lead for any necessary property maintenance and changes.
  • Collaboration with the Volunteer Coordinator for any necessary tasks related to Support Crew volunteers.

Who are we looking for?

  • You have at least a secondary vocational education working and thinking level. Qualifications in administrative and financial studies are an advantage.
  • You have proven organisational and maintenance skills: at least one year of experience in basic office administration and accounting and/or a minimum of one year logistics and office management experience in a humanitarian context.
  • You have proven experience in a similar position, preferably within an NGO environment.
  • You have experience in working in a multi-cultural context.
  • You are familiar with office management procedures and basic accounting principles.
  • You have excellent knowledge of Excel and Google Drive.
  • You are an outstanding communicator and have great interpersonal abilities.
  • You have excellent organisational skills.
  • You are able to act accurately, proactively, and critically and can work independently.
  • You are able to keep yourself up to date with developments in your field of expertise.
  • You are fluent in English, in speaking and writing. Speaking Greek is strongly preferred.
  • You are in possession of a driver’s licence B and are able to drive a manual car.
  • We have a strong preference for a candidate already living in Lesvos.

What do we offer you?

As Finance & Logistics officer you will receive a salary in line with the character and aims of our organisation. Initially, we will hire you until the end of the year; an extension after this period is possible.
