Duties and Responsibilities:

Reporting directly to the Dean, the Faculty Administrative Coordinator initiates and manages the administrative processes for academic faculty positions for the Faculty of Arts and Social
Sciences. The position is responsible for administering all matters pertaining to faculty recruitment and hiring, tenure and promotions, sabbaticals and other leaves, Adjunct/Research appointment requests and renewals, cross-appointments, and Career Development Increments. This is the central position in the Office of the Dean of FASS (ODFASS) dealing with CUASA-related matters and the incumbent is a key member of the senior administrative team, working together with both the Financial Officer and the Manager, Faculty Operations to ensure the smooth operation of the Faculty. As they are responsible for supporting the Dean in the day-to-day operational requirements for academic human resources within the Faculty, the incumbent must maintain a comprehensive understanding of the CUASA Collective Agreement. All of the work is confidential and/or sensitive in nature and attention to detail and responsible and timely performance is imperative. The incumbent provides research and recommendations regarding the interpretation of collective agreements, coordinates various academic labour relations initiatives, and assists with gathering information related to grievances. As the subject matter expert, the Faculty Administrative Coordinator provides advice and counsel to the Dean, faculty members, FASS Chairs and Directors and unit administrative heads on matters related to academic human resources and is ODFASS’s chief liaison with the Manager, Faculty Affairs, maintaining awareness of operational changes and providing expert input into the development of new policies and procedures as they relate to the administration of academic faculty positions within the Faculty. The incumbent is expected to support activities related to maintaining and ensuring adherence to the university’s collective bargaining agreements.

Qualifications:

The incumbent must possess the following qualifications:
• Knowledge of administration policies, procedures, and processes and customer/client services
• Knowledge of relevant collective agreements and related policies, procedures, and processes
• Ability to use independent judgement and to manage and impart confidential information
• Ability to gather data, compile information and prepare reports
• Ability to write/amend documents that accurately capture issue(s)
• Knowledge of office as well as the broader university academic units, departments, and divisions
• Knowledge of office productivity software and databases, internet browsers and search engines, discipline-specific software, enterprise software, and technology devices
• Knowledge of cultural competency and diversity in a business context
• Knowledge of supervisory practices
• Knowledge of current and emerging legislation, issues and trends as appropriate to the position

Education and Experience:

The above is normally acquired through the completion of:
• Completion of bachelor’s degree in Human Resources or related field
• Minimum of four years of previous academic human resource administration and service experience preferably in a University setting

Important Note Regarding Pandemic Related Operations:

This position is required to work on campus. Exceptionally, since March 2020, many staff and faculty at Carleton University have been working from home in order to comply with public health requirements while continuing to provide services to support the operational functioning of the university. We are currently in the process of identifying positions that need to work on campus as part of our return to campus process. This position may be required to work temporarily remotely due to public health requirements or it may have been identified as one of the roles that are required to work on campus. If this position is required to work on campus, the successful candidate will be informed of the health and safety measures that are in place to ensure their safety on campus. If there is a requirement to work remotely (it is possible that there could be a requirement to work both remotely and on campus), the successful candidate will work with the manager to set up a remote work environment including discussing appropriate technology and requirements. Please note that once public health requirements permit, Carleton University will resume normal on campus operations and at that point there will be a timely notification provided by the manager and the requirement to working full time physically onsite will resume. Therefore, we are looking for candidates currently in or looking to relocate to the Ottawa area.

Additionally, Carleton University is continuing to maintain a safe work environment and requires mandatory vaccination against COVID-19 as per Public Health recommendations under the Reopening Ontario Act. As Carleton University requires that staff be available to attend on-campus meetings and to work, as required, in person, the successful candidate will be required to comply with this policy and be fully vaccinated before commencing employment.
