This 20 hour-week position will serve as the Facilities Coordinator for Cornell Cooperative Extension Association of Madison County and under the general supervision of the Executive Director, the Facilities Coordinator has the primary responsibility for cleaning and maintaining the Association’s grounds and physical facilities. This position will provide support to the Executive Director to ensure the safety of staff, volunteers, participants, and the public. It is the role of this position to follow daily, weekly and monthly cleaning and maintenance schedules for the grounds and physical facilities including, but not limited to: office areas, kitchen, educational classrooms, storage areas, entrances, etc. The Facilities Coordinator is also responsible for mowing; snow removal; repairs; minor carpentry and construction projects; maintenance of equipment; set-up and breakdown for meetings and/or events; and coordinating facility needs with the Executive Director and/or designated staff. Will assist the Executive Director in ensuring OSHA/PESHA safety regulations are followed. This position will represent Cornell Cooperative Extension to the general public, community leaders and government officials in a professional manner. Required Qualifications:

  • Associate’s Degree or Equivalent Education (High School Diploma/GED and one (1) year transferrable program/functional experience).

  • Experience relevant to the role of the position.

  • Ability to operate facility equipment, such as a lawn mower, snow blower, etc.

  • Ability to read and understand directions as printed on cleaning compounds and chemicals.

  • Ability to climb ladders and perform custodial/facilities work from heights above floor levels.

  • Ability to do heavy lifting, shovel snow, and move/transport supplies and equipment.

  • Valid NYS Driver’s License and the ability to meet travel requirements associated with this position.

  • Ability to work flexible hours which may include evenings and/or weekends, as appropriate.

Preferred Qualifications:

  • Demonstrated ability to effectively participate in planning, organizing, implementing, and evaluating facility needs.

  • Demonstrated ability and experience in most maintenance areas including, but not limited to: plumbing, electrical, carpentry and maintenance.

Position Responsibilities & Essential Functions

Administrative Direction – 5%

  • Assist in preparing and recommending two and five-year maintenance plans.

  • Assist in preparing and recommending annual facility operations budget.

  • Assist in recommending capital equipment purchases, as applicable.

  • Assist in evaluating and recommending cost savings measures to increase the overall efficiency of facility operations. 

  • Assist with developing building and equipment maintenance schedules.

  • Assist with creation of emergency preparedness plans.

  • Assist with developing written plans and records for facility, equipment, and grounds including, but not limited to: maintenance records, fire extinguisher and heating system, annual maintenance, winterization of buildings and equipment.

Administrative Management – 10%

  • Assist with managing building equipment and maintenance schedules.

  • Assist with aligning resources to identify contractors and outside vendors for identified needs.

  • Assist Association staff to ensure a healthy and safe site is maintained for programs by ensuring established policies and procedures are followed, and by serving as Association Safety Officer.

  • Assist Executive Director in securing bids and handling contract negotiations for areas as applicable (i.e. trash removal, cleaning supplies, janitorial services, food vendors, phone service, construction, etc.).

  • Provide oversight for all non-capital improvement projects as called for on the two and five year maintenance plan (i.e. painting, screen replacement, general upkeep).

Administrative Coordination/Operation – 80%

  • Perform general maintenance and custodial duties as directed. Duties include, but are not limited to: basic repairs and carpentry, tending to grounds, painting, cleaning, sealing, etc.

  • Assist with maintenance of emergency preparedness plans.

  • Assist in updating and maintaining the health and safety plan as it pertains to facility operations.

  • Assist with maintaining written plans and records for facility, equipment, and grounds including, but not limited to: maintenance records, fire extinguisher and heating system, annual maintenance, winterization of buildings and equipment.

  • Facilitate routine ordering of cleaning supplies, building materials, maintenance items, etc. to ensure adequate supplies and materials are available to conduct grounds keeping and custodial tasks.

  • In collaboration with Office Coordinator, keep an inventory of all supplies and equipment.

  • Comply with established health and safety regulations and guidelines including OSHA/PESHA regulations.

  • Safely operate all vehicles and other job-related equipment.

  • Follow instructions regarding the use of chemicals and supplies.

  • Record use and storage of all chemicals and cleaners utilized in MSDS record book as required.

  • In collaboration with Office Coordinator, maintain all equipment operating manuals and maintenance records.

  • In collaboration with Executive Director, schedule contractors, volunteers, or other resources to address facility, maintenance, and storage needs.

  • Clean and maintain all grounds and facility areas (i.e. office areas, kitchen, educational classrooms, storage areas, entrances, etc.) removing all garbage, trash, and recyclables; cleaning and maintaining appliances and equipment such as dehumidifiers & air filters, refrigerators, stoves, hot water heaters, furnaces, lawn mowers, etc.

  • Assist with arranging for and performing deliveries and errands.

  • Remove snow and ice from walks, roofs, driveways, and parking lot as needed.

  • Maintain lawn and landscaping as needed.

  • Replenish soap, towels, and paper in appropriate dispensers.

  • Complete opening and/or closing checklist, depending on schedule, and perform building checks over extended closure periods.

  • This position may require the transport program materials, resources and/or supplies in performing position responsibilities.

Professional Improvement – 5%

  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Health and Safety – Applied to all duties and functions

  • Support the Association to maintain a safe working environment.

  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

Position Details

The position is located at the CCE Madison office in Morrisville, NY. This is a part-time, 20 hrs/week, benefits eligible position. The hourly rate is $16.00-$17.00 dependent upon experience.
