Facilities Coordinator – Ithaca, NY

Under the general supervision of the Operations Effectiveness Manager (OEM), the Cornell Cooperative Extension of Tompkins County (CCETC) Facilities Coordinator has the primary responsibility for maintaining the Association’s grounds and physical facilities to ensure the safety of staff, volunteers, participants, and the public at the Education Center for Cornell Cooperative Extension Tompkins County. In addition, the position provides support and guidance for the facilities representatives at the 4-H Acres and Arnot Forest locations as well as the commercial kitchens.
The position also assists in overall facilities management under the guidance of the Supervisor. The position provides coordination and oversight for contractors who clean, remove snow, and perform landscaping. The position also drafts bids, contacts contractors, and provides coordination and oversight for contractors on major improvement projects. The position performs minor maintenance tasks, such as repairs, painting, light bulb replacement, fire extinguisher maintenance, and other tasks. In addition, the position monitors the cleanliness, appearance, and safety of the facilities and makes recommendations to their supervisor and the Board Facilities committee for improvements. The Facilities Coordinator is also responsible for preparation of facilities for meetings, rentals, & events; snow removal from walkways and entrances; maintenance of equipment; set up/breakdown; and coordinating facility needs with the Leadership Team and/or designated staff and volunteers.
This position is responsible for managing and coordinating OSHA/NY Public Employee Safety & Health (PESH) safety regulations under the guidance of the Supervisor and the Executive Director. The position will serve as Safety Officer, serve on the Safety Committee, and provide safety training as needed to staff.
This is a part time, 30 hours per week, non-exempt, benefits eligible position.
Required Qualifications:
- Associates Degree or equivalent education (High School/GED and 2 years related experience).
- Experience in maintenance, facility upkeep, or similar.
- Knowledge of cleaning, maintenance, and repair methods, materials, and techniques applicable to public buildings.
- Ability to clearly communicate and to read and write in English.
- Ability to work in all weather conditions – sometimes extreme conditions (cold/hot or inclement weather).
- Ability to frequently lift and move objects weighing up to 20 pounds; occasionally up to 50 pounds.
- Demonstrated leadership skills and ability to manage people and projects.
- Basic Computer Skills including use of e-mail and computer-based time collection.
- Ability to work independently with a minimum of supervision and to complete work within a reasonable time frame.
- Experience working in a team-oriented, collaborative environment.
- Ability to rapidly adapt and respond to changes in priorities.

Preferred Qualifications:
- Experience working with engineers, architects, carpenters, masons, plumbers and electricians.
- Experience in project management.
- Experience with administering organizational safety programs and risk management requirements.
Responsibilities/Essential Functions:
Administrative Responsibilities:
Direction – 15%
- Assist supervisor to develop written plans and strategies to maintain records for facility, equipment, and grounds, including but not limited to maintenance records, seasonal work plans, fire extinguisher and heating system annual maintenance, winterization of buildings and equipment.
- Provide input to supervisor and the Board Facilities Committee for the planning of the Association facilities budget and strategic facility needs.
- Plan for staffing needs of facility maintenance, working with supervisor.
- Assist supervisor to plan for facilities needs to be fulfilled by outside contractors/vendors, including assisting with bid creation.
- Develop relationships with local vendors and contractors to facilitate identification and hiring as necessary for identified Association facility needs.
- Provide planning input and guidance to Association Management for upkeep of facilities, needed repairs, etc.
- Assist supervisor and Leadership Team to establish and design the emergency preparedness plan, including training for staff.
- Collaborate with facilities representatives for 4-H Acres, Arnot Forest, and commercial kitchens to assist Leadership Team in developing strategies for reducing costs and increasing revenues for these facilities.
Management – 30%
- Oversee all aspects of the cleaning, upkeep, maintenance, and repair of the Education Center’s building and grounds to insure a safe, clean, and orderly work environment for clientele, volunteers, and employees.
- Provide guidance and support to facilities representatives for 4-H Acres, Arnot Forest, and the commercial kitchens.
- Occasionally oversee volunteers working on special facilities projects.
- Provide oversight to contracted maintenance companies, including scheduling and assignment of duties, inspection of work (either directly or through other staff) and follow up with contractor as needed. May include minor and routine painting, plumbing, electrical wiring, and other related maintenance activities.
- Check completed work by contractors and vendors and follow up as needed.
- Oversee construction and renovation projects, moves, building security, inventory control, and scheduling of vendors and contractors.
- Resolve facility and maintenance issues and problems with staff or vendors.
- Manage building and equipment maintenance schedules.
- Oversee and ensure completion of written plans and records for facility, equipment, and grounds, including but not limited to maintenance records, seasonal work plans, fire extinguisher and heating system annual maintenance, winterization of buildings and equipment.
- Provide guidance and recommendations to supervisor and Board Facilities Committee on state of facilities, needed repairs, and upkeep.
- Assist supervisor to ensure emergency preparedness plans are monitored and kept up to date, including trainings needed for staff.
- Provide input to supervisor and designated staff to assist them in negotiating contracts with vendors and/or contractors, and to ensure required risk management approvals are in place.
- In collaboration with supervisor, monitor facility budget. Monitor expenses and payments including verification of payment and invoicing matching contract pricing.
- As Safety Officer for the Association, and as the primary point of contact, ensure compliance with updates to safety policies and procedures provided by CCE Extension Admin and insurers.
- Provide staff with trainings and guidance to meet safety and risk management requirements.
- Assist supervisor to maintain compliance with all OSHA/PESH safety regulations.
- Assist supervisor to ensure security of the facility.
Coordination/Operation – 50%
- Provide the following maintenance tasks, and coordinate and schedule, as needed, maintenance contractors for:
- Grounds Maintenance : Maintain the exterior of building and grounds. Perform landscape and road/sidewalk maintenance such as: mow grass, maintain shrubbery and area around shrubs, weeding, fertilizing, rolling, etc.; snowplow, shovel and salt driveways, building entrances, parking lots, etc.
- Building Cleaning/Upkeep/Security : Clean and maintain all public areas, restrooms, meeting rooms, and offices; removing all garbage, trash, and recyclables; clean and maintain appliances and equipment such as refrigerators, stoves, hot water heaters, furnaces, lawn mowers, tractors, floor scrubbers, etc. Provide general maintenance and repairs, such as minor plumbing, electrical, carpentry, roofing, flooring, and painting as required. Maintain paper goods and supplies. Handle deliveries and errands.
- Special Events : Set up and clean-up for events and meetings according to schedule and as directed, including emptying trash, cleaning restrooms and restocking supplies, sweeping/cleaning/mopping/vacuuming/waxing floors, taking down and setting up tables and chairs, etc., interacting with and assisting customers and catering staff as needed and directed.
- Coordinate or conduct training on Emergency Preparedness and safety to necessary staff.
- Coordinate building maintenance with contracted maintenance company.
- Provide regular and special reports on the conduct of the project to the Board of Directors and board committees as required.
- Facilitate safety related training and/ or coordinate outside trainers to facilitate training for staff in specialized areas.
- Perform minor maintenance tasks, such as repairs, painting, light bulb replacement, fire extinguisher maintenance, and other tasks.
- Serve on the staff Safety Committee.
Professional Improvement – 5%
- In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan to increase competencies relative to position accountabilities and to address changes and Association priorities.
- Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

- Support the Association to maintain a safe working environment.
- Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

This is a part time, 30 hours per week, non-exempt, benefits eligible position. Compensation starting at the rate of $23.75 per hour, commensurate with experience.
