Position Summary
The School conducts cutting-edge research to understand some of the most challenging problems posed by crime and emerging risks, including firearms violence, cybercrime, terrorism, gender-based violence, and youth violence, and engages with policy makers and practitioners to advance justice. We are home of the oldest continuous degree granting program in Criminal Justice in the U.S. As of spring 2022 we were home to 856 undergraduate majors, 251 masters students across four programs, and 35 PhD students.
This position will serve as the executive secretary to the Director of the School of Criminal Justice. Provides administrative support to the Director of the School of Criminal Justice; oversees the Director’s calendar; reviews, interprets, and summarizes materials in order to keep the director informed of pertinent events and information; gathers, screens, and relays sensitive information received from the university executives, staff members, and visitors; prioritizes and responds to inquiries for the Director; sorts, reviews, and directs director’s mail including drafting responses and maintaining logs to track delegated matters; develops, plans, coordinates, and manages assigned projects; oversees and initiates correspondence to donors; maintains and tracks charitable donations database; assist with reappointment/promotion and tenure process; maintains alumni database; assist with project development and monitors, analyzes, and reconciles related records; conducts research on assigned projects for the development of new projects; creates databases for new projects; attends meeting with Director; takes meeting minutes; completes work with frequent interruptions, handles diverse and multiple tasks and details; prioritizes work; maintain director’s office files, participates in processing materials for reappointment, promotion and tenure; provides supervision to front office staff; additional duties assigned.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience.
Desired Qualifications
Bachelor’s degree in Human Services or Business with five to eight years of related and progressively more responsible or expansive University work experience in university systems, experience with Microsoft Word, Excel, Access, Microsoft Teams, Publisher, Powerpoint software; knowledge of University policies and procedures; ability to interpret information in order to coordinate projects, excellent communication, grammar, writing and editing skills, strong interpersonal skills, ability to manage highly sensitive and confidential information and the need for discretion.
