About the Role & TeamThis position supports the Director and Planning Manager in Engineering Services. You would be responsible for supporting the day-to-day operational needs of the Resorts Engineering Services team. In addition to general duties, you would be responsible for overall office administration and balance multiple priorities in a fast-paced, team environment using critical thinking, problem solving, and relationship management.This is a fully on-site role is based in Lake Buena Vista, Florida. Relocation will not be available for this position.You will report to the Director – Resorts Engineering Services.This is a Full-Time role.What You Will DoEvery day in this role is different! On any given day you might:Thoughtfully handle complex calendarsManage Travel & Entertainment expenses for your teamProactively resolve issues and pitch in to helpCoordinate onboarding/offboarding of team membersTrack team time off using Labor Reports in SAPPlan recognition and team eventsOrder supplies and equipment along with other office management dutiesPrepare reports to be shared with leaders and stakeholdersCompose correspondence on behalf of leaderSchedule and host Zoom meetings which could include presentation sharingAttend meetings to take notes as well as follow-up on action itemsPrepare professional PowerPoint presentationsEnsure the executive is prepared for meetings and eventsHandle highly confidential correspondence and information with utmost discretionWork closely with the Executive on activities, projects, meetings, event planning and office logisticsPartner with department secretarial staff on office procedures, events, and office logistics
Submit Workday salaried headcount requisitions, track open headcount and recruiting effortsMonitor Craft Maintenance Council Overtime EqualizationRequired Qualifications & Skills3 years minimum experience in an administrative roleProven success partnering and interacting with all levels of Cast Members/Employees including Executive LeadershipStrong proficiency with standard office tools such as Microsoft Office (Outlook, Word, PowerPoint, Excel), SAP, Coupa, and ConcurGenerally tech savvy and willing to learn new skillsProfessional and highly discreet while maintaining absolute confidentialityEffective strong verbal and written communication skillsAbility to be pro-active, resourceful, flexible, and responsibleAbility to take initiative and anticipate needsExtremely well organized and attentive to detailAbility to partner effectively and work in a team environmentDemonstrated innovative thinking and problem-solving skillsPreferred QualificationsPrior experience supporting at the Director levelExperience working with MyTime and WorkdayFamiliarity with the Facilities & Operations Services organization and Craft Maintenance Council agreementEducationA high school degree or equivalent experienceAdditional InformationDisney offers a rewards package to help you live your best life.
