Position Title EXECUTIVE SECRETARY
Position Summary This position is responsible for leadership and coordination of the functions and support services provided by the Academic Senate Office. Coordinates across multiple university constituents, performing complex and varied duties requiring a high degree of decision-making and independence of action. Provides consultation on all aspects of the curricula process and related policies and procedures for faculty and staff. Oversees ongoing and time limited projects related to the Academic Senate, including document processing, creating communications. and compiling reports.
Required Qualifications High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications Bachelor’s degree in project management, administration or relevant field.
One year of work experience in higher education.
Knowledge and experience with curricular processes in higher education.
Knowledge of specialized higher education technology and web-based systems, specifically workflow systems.
Ability to oversee and perform complex administrative duties for curricular and academic policy and procedure related tasks and activities.
Knowledge of academic policies and procedures.
Proficient in report development; experience in auditing and formatting reports.
Duties & Responsibilities Administrative oversight for the Academic Senate Office, serving as the primary source of information, coordinating, and prioritizing tasks, and executing assignments. Maintains all Academic Senate records, including committee terms, membership, and committee charges.
Provides consultation and guidance to the CMU community about the curricular process, workflow, and timelines in alignment with the university policies, procedures, required standards, and best practices.
Maintains the Master Course Syllabi directory and makes recommendations regarding the Academic Senate website.
Assists with the setting of the Academic Calendar for the upcoming curricular year.
Updates and distributes Academic Senate policies. Assembles past materials/documents for historical perspective upon request.
Assists in recruiting Academic Senate and all subcommittee members to assure adequate membership quorums. Collects committee nomination forms for Committee on Committees and communicates election results to constituents.
Coordinates activity between the Academic Senate Chairperson and Senate Review Committee Chairpersons. Convenes committees and meetings for the Academic Senate Chairperson. Identifies further development and training opportunities for new committee members.
Attends Undergraduate Curriculum Committee and Academic Senate meetings. Compiles and distributes materials, complies minutes, ensuring that policies and academic program changes are recorded accurately in the minutes.
Creates agendas and distributes meeting materials for the Academic Senate Executive Board.
Collaborates with the Bulletin and Minutes Editor and posting approved minutes in a timely manner. Notifies the campus community of minutes posted and tracks objection periods.
Composes communications arising from actions taken by the Academic Senate and related Senate committees.
Collects and archives committees’ annual reports.
Collects, compiles, tracks, and archives Student Curricular Appeals. Sends determination letters to students and/or advisors.
Performs other duties as assigned.
