Position Title EXECUTIVE OFFICE SPECIALIST
Position Summary Responsible for a variety of student and faculty support activities within the School of Engineering and Technology including: budgetary and financial responsibilities, course scheduling/enrollment management, processing of curricular forms, and processing of personnel transactions (TT, fixed-term, grad students).
Required Qualifications High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department (i.e. Excel, Data Warehouse, SLCM).
Demonstrated ability to design/maintain web pages may be desired.
Duties & Responsibilities Develops semester class schedules for all undergraduate programs and graduate program.
Monitors academic programs’ retention standards (conditional booking reports).
Registers students in senior design lab sections.
Tracks student academic progress.
Monitors enrollment numbers, wait-lists, reassigns classrooms, adds or deletes sections based enrollment needs.
Compiles student-related data to include, enrollments, graduation reports, SAP reports, Data Warehouse reports and additional requests as necessary.
Tracks signed majors, minors, major modifications.
Confirms students have met academic advising requirements.
Serves as a liaison between SET and other departments across the University.
Assists in recruitment efforts for the department including, advertisements, position postings, collection of materials, applicant tracking, FTE calculations, coordination of screenings, interviews and meetings, itineraries, travel and lodging as needed, and performing other requests by the Chair or search committee as needed.
Processes all tenure track/fixed-term and graduate student personnel transactions.
Processes payroll for faculty, staff and students.
Supervises student employees.
Coordinates faculty office assignments (telephone, computer, furniture).
Maintains records on University controlled areas and SET controlled areas.
Handles logistics of general repair and maintenance needs.
Coordinates building room reservations, distribution of building keys and moving requests as needed.
Performs general office duties to include answering phones, responds to department inquiry from faculty, staff, student and community members, serves as a representative of the department and provides excellent customer service.
Coordinates meetings and events, including attendees, location, food, parking, RSVPs, set up/take down and special accommodations’ needed.
Monitors SOS system and faculty assignments/requests
SET budgetary and financial reporting responsibilities to include: endowments, reconciliation and retention of all credit card invoices/receipts, invoice vouchers and purchase orders, purchasing and reimbursements for faculty/students, grants, ORGS/FRCE awards, scholarship applications and other financial reporting as requested.
Processes supply and equipment orders including: obtains and initiates quotes and purchase orders, tracks receivables and reimbursements. Maintains a large list of vendor accounts.
Processes third-party and service contracts.
Coordinates travel arrangements including domestic and international travel, meals, lodging, registrations and itineraries as needed for the SET department.
Reports maintenance issues/concerns for the department and processes move requests.
Other duties as assigned.

About the Department The School of Engineering and Technology (SET) offers 7 undergraduate programs and 1 graduate program in engineering and engineering technology fields. Courses are taught by 23 full-time faculty members in an attractive 70,000 square foot building which houses more than twenty laboratories and support spaces.
