Executive Assistant – Vice Chancellor of Enrollment Services and Student Success

Provides administrative and professional level support to the Office of the Vice Chancellor, Enrollment Services and Student Success (VCESSS) and team.
MAJOR RESPONSIBILITIES:
- Oversee daily operation of the Offices of the Vice Chancellor, Enrollment Services and Student Success and serve as the office’s initial contact point.
- Act during the VCESSS’s absence, using initiative and judgment to see that matters requiring attention are referred to the appropriate authority or are handled in a manner that minimizes the effect of the VCESSS’s absence.
- Responsible for departmental communications, evaluating documents to determine routing and/or response, composing and preparing correspondence, monitoring college appointments and maintaining office files, including highly confidential files, and documents
- Assist VCESSS in planning and carrying out special projects, including the preparation for meetings, work projects, community activities and reports for which the VCESSS is responsible.
- Provide front desk/student check in assistance for the ES/SS as needed.
- Assists with room scheduling and other event planning in collaboration with ES and SS departments, including preparing materials, sending invitations and coordinating logistics for the Admissions, Enrollment, Student Life and Advising teams.
- Coordinates meetings, luncheons, special events and conferences scheduled by the VCESSS; may include location, catering, travel and lodging as necessary.
- Assists in maintaining budget information for the Office of VCESSS, including coordination of all purchases and business office personnel.
- Makes travel arrangements and prepares travel requests and travel reimbursement requests.
- Assist in ordering and maintaining office supplies.
- Perform other duties as assigned by the VCESSS.

MINIMUM QUALIFICATIONS:
- Associates degree and a minimum of one year related work experience OR appropriate combination of education, training, and work experience required.
- Must have excellent computer skills including extensive knowledge of Microsoft Office.
- Must have excellent communication, interpersonal, and organizational skills.
- Must demonstrate ability to work independently and collaboratively and ability to organize and prioritize multiple tasks.
- Must be able to maintain confidentiality of sensitive information.
