Position Overview

Are you an experienced Executive Assistant, confident working at a senior executive level? Do you have a positive disposition, a level head, sound time management, organisational and communication skills, and the energy to support our senior leaders.  If so, we are looking for someone special with a high level of personal integrity, initiative, and confidentiality to support the Vice Chancellor (VC) and Provost at Massey University.

Your key accountabilities include: (please refer to the position description for all the details)

Executive support

  • Anticipate information and organisational needs of the VC and Provost.
  • Screen all inward communications (telephone calls, mail, and visitors) – identify and act on issues quickly
  • Arrange meetings/teleconferences/VTC[MB1] ; scheduling meetings, booking rooms/call-in numbers, arranging meeting facilities, sending confirmations, preparing, and distributing meeting materials.

You’ll bring:

  • Prior executive assistance experience at a senior level, ideally from a tertiary institution.
  • Demonstrated ability to discretely handle sensitive information, maintain a high standard of ethics and confidentiality.
  • Excellent communication skills for a variety of audiences and purposes
  • Strong people and relationship building skills
  • Ability to work as part of a team to achieve necessary outcomes
  • A high degree of proficiency with Outlook and MS Office applications
  • Significant administration experience and the ability to manage multiple projects/initiatives at the same time, be flexible and meet deadlines.
  • Proven attention to detail, methodical and accurate in work approach, whilst maintaining a high work output.
  • Enthusiasm for creative environments, people, and activities.
  • Cultural intelligence
  • Resilience, optimism, empathy, and a sense of humour.

This is interesting and varied role that will require some travel.  Applications close Friday the 25th at 9am.

Interviews will be held the week beginning 28th November 2022 with commencement after the 16th of January 2023
