JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office of the Dean of Penn State Law and the Penn State School of International Affairs seeks an Executive Assistant to provide high-level administrative support to the Dean.

The successful candidate for this position will manage operational activities for the Dean, while also managing a variety of high-level, confidential, and sensitive activities on behalf of the Dean. Specific responsibilities include:

  • Managing the dean’s schedule and calendar, which includes coordinating complex and conflicting schedules.

  • Maintaining a tracking system to ensure that key strategic priorities are accomplished, and people receive timely responses to inquiries.

  • Managing daily office activities.

  • Providing counsel to Dean on administrative matters related to Dean’s office activities.

  • Supervising assigned administrative support staff and coordinating with leaders and administrative support staff in various work areas of the schools.

  • Maintaining close relationships with units internal and external to the schools, including coordinating Dean-level activities with offices of other senior administrators.

  • Managing special events and projects.

  • Producing, editing, and processing confidential correspondence and reports.

  • Arranging meetings, assembling briefing materials and disseminating follow-up items.

  • Responding to a variety of inquiries on behalf of the Dean.

  • Providing administrative and logistical support for internal, external, and national boards and committees in which the Dean participates, leads, or sponsors.

  • Coordinating travel arrangements and reconciling travel expenses.

Education and Experience:

This position typically requires a Bachelor’s Degree or higher plus three years of related experience, or an equivalent combination of education and experience.

Excellent interpersonal and organizational skills and attention to detail are required. Other required qualities include the following: accurate and professional communication and problem-solving skills, the ability to multitask priorities, knowledge of University policies and procedures, exceptional phone and customer service skills, superior written and oral communication skills, and excellent grammar. Conscientious attention to detail is essential. Proficiency in Microsoft Office required.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act and the Pennsylvania Act of 1988, Penn State publishes a combined Annual Security and Annual Fire Safety Report (ASR). The ASR includes crime statistics and institutional policies concerning campus security, such as those concerning alcohol and drug use, crime prevention, the reporting of crimes, sexual assault, and other matters.
