Job Summary

The Executive Assistant/Operations Manager uses skills as a detail-oriented and customer service-focused administrative operations professional to manage, plan and administer the operations of UDAR’s Corporate and Foundation Relations (CFR) unit. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. The Executive Assistant/Operations Manager provides administrative management and development support for the CFR executive director (ED) and team. This position interfaces regularly with UDAR units, campus departments, and external constituencies and provides executive assistance to the ED and other CFR development officers, performing high-level coordination of the ED and team calendars, communications, meetings, metrics data, gift processing, stewardship, and proposal submissions as needed. This position requires working with confidential donor information and the incumbent is expected to maintain strict confidentiality.

This position is responsible for managing operations and supporting fundraising activities for a small, close-knit team focused on raising philanthropic funds from private foundations and corporations for diverse research, clinical, educational, and service programs and projects across all schools and divisions of UCSF. This high-performing team requires a precise, analytical, and flexible individual to help achieve outstanding results in a demanding yet fun environment. Your work will help the excellent research and practice of UCSF faculty secure the funding it needs to advance the frontiers of human health.

This position is eligible for a hybrid work model. 

Department Description

Corporate & Foundation Relations, part of University Development & Alumni Relations, raises philanthropic funds from private foundations and corporations and works across the university.  These funding opportunities are frequently very competitive, requiring close consultation with faculty and leadership across the institution. CFR works with several external offices, such as the Office of Sponsored Research, depending on the classification of funding pursued and received.

Required Qualifications

  • Bachelor’s degree in related area and 3+ years of directly related work experience; and / or equivalent experience / training
  • Thorough knowledge of common organization-specific and other computer application programs (i.e. Microsoft Office, including Outlook, Word, Excel and PowerPoint and familiarity with Adobe)
  • Strong ability to navigate operations databases and extract information in digestible reports. Strong analytical skills to determine which data is most relevant and useful to report audience(s)
  • Precise attention to detail in all aspects of job
  • Solid analytical and problem-solving skills
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization. Rhetorical ability to communicate appropriately given sensitivities and different perspectives
  • Strong service orientation
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing. Excellent written communication
  • Ability to be flexible, changing course as necessary in accomplishing unit needs
  • Knowledge of a variety of administrative operational activities such as, basic fundraising processes and administration, and contracts and grants regulations, guidelines, and systems
  • Ability to use discretion and maintain confidentiality

Preferred Qualifications

  • Familiarity with the organization’s processes, protocols and procedures
