Who are we looking for?

Queensland University of Technology (QUT) is seeking a Executive Assistant
to join School of Electrical Engineering and Robotics, Faculty of Engineering, Academic Division.

The Executive Assistant provides administrative support to the QUT Centre for Robotics Joint Centre Directors. The position works collaboratively with key stakeholders and other staff to deliver exceptional service and support. Confidentiality, discretion and consistent sound judgement are critical attributes for this role.

The Faculty is led by the Executive Dean and the Executive Management Team comprising the deputy dean, heads of schools, and other senior faculty staff.

About the QUT Centre for Robotics
The QUT Centre for Robotics is a Tier 1 QUT Research Centre, representing a priority area of research for the University. It is one of the largest and most successful robotics groups in the world, with over 100 full-time researchers, including 15 core academics. It has ranked as the leading robotics group in Australia by The Australian Research Magazine for three years running, 2019 – 2021.

QUT Robotics has been involved in over $100M of research and industry initiatives, and has led or co-led major strategic investments in Australian robotics, including the $26M Australian Centre for Robotic Vision (2014 – 20), the $18M Advanced Robotics Manufacturing (ARM) Hub (2019), two robotics-related ARC Industrial Transformation Training Centres (ITTCs), in Collaborative Robotics (2020) and Joint Biomechanics (2019),an ARC Industrial Transformation Research Hub (2020), and major research infrastructure including a $2M ARC Linkage Infrastructure, Equipment and Facilities grant to establish Australia’s largest covered outdoor lunar testbed facility (2022), and the Autonomous Combat Warrior (ACW) Research and Technology program (2019 onward, 60 people), part of a $5.2bn contract with collaborator Rheinmetall to develop the Australian Defence Force’s future vehicles.

What you need to succeed

You will thrive in this role if you are passionate about developing trusted working relationships and delivering high-level administrative support to a collegiate and high-performing team.

You will demonstrate:

1. Education, training or relevant experience equivalent to completion of an associate diploma with at least two (2) years’ subsequent relevant experience; or an equivalent combination of relevant experience and/or education training.
2. Demonstrated strong organisational skills with the ability to manage time and tasks effectively, including prioritising work, meeting deadlines and balancing competing demands effectively with limited supervision.
3. Demonstrated interpersonal skills with the ability to provide confidential executive support and proven ability to collaborate and communicate with a wide range of internal and external stakeholders in a professional manner.
4. Demonstrated written communication skills, including the ability to draft and edit documents, email correspondence and digital communication (social media), with a high degree of accuracy and attention to detail.
5. Demonstrated digital literacy skills including ability to effectively work with Microsoft suite of products, social media, generation of visuals, as well as corporate systems and other information sources to extract and interpret data.
