Role Overview
Unity Technologies is seeking an Executive Assistant to support our executives and leaders within a business unit. We are looking for an experienced and highly motivated professional with exceptional written and verbal communication skills, stellar interpersonal demeanor, and an ability to work independently and solve problems quickly.
As a strategic partner and first-line of communication with our leaders, you will work closely with company executives, fellow assistants, and employees from across the company to ensure a smooth and effective workflow for your Executive partners and their teams. You will anticipate needs, surface issues early, and lead solutions that enable the success of Unity’s executives and the teams they lead. You will coordinate across global time zones, manage priorities, and streamline meetings and communications so leaders and their teams can focus on high‑impact work.
Key Responsibilities
- Operate with initiative in a fast‑paced, global environment; support leaders across different time zones as necessary.
- Serve as the first line point of contact; maintain clear, timely, and professional communication.
- Partner with executives, peers, cross-functional teams, and external vendors/clients to drive outcomes.
- Own complex, high-volume calendars across global time zones; resolve conflicts and align priorities.
- Set agendas, clarify objectives, and prepare leaders for meetings with minimal direction.
- Arrange and optimize complex global travel logistics (flights, routes, hotels, ground transport); adjust plans proactively.
- Collect receipts for all business related expenses from executives and submit expense reports in a timely manner.
- Plan, coordinate, and oversee logistics and budgets for team off-sites, and special events. Some travel might be required if on-site support is needed.
- Track tasks, deadlines, and action items; anticipate needs and proactively surface risks.
- Review and edit documents, presentations and spreadsheets as requested.
Required Qualifications
- Must-Have Qualifications:
- 4+ years supporting senior executives in high‑growth, fast‑paced environments.
- Exceptional communication and relationship‑building; proven cross‑functional influence and alignment.
- Expert calendaring and priority management skills across global time zones.
- Advanced global travel coordination and end‑to‑end Travel and Expense management (multi‑country, multi‑currency, policy compliance).
- Event planning and logistics for on-sites/off-sites (venues, vendors, AV, catering, budgets).
- High integrity, discretion, and sound judgment with confidential information.
- Proactive, organized, and deadline‑driven; thrives in ambiguity and in team settings.
- Proficiency In: Google Workspace, Microsoft Office; comfortable with Slack/Workday and expense platforms; quick to learn new tools.
- Nice-to-Have Qualifications:
- Advanced proficiency in Google Workspace, Microsoft Office, Slack, Workday; experience with complex multi‑country expense reports.
- Proven ability to create/improve administrative processes and drive cross‑functional initiatives and goal alignment in high‑growth settings.
- Scope and time‑zone flexibility: experience supporting multiple executives; comfortable managing meetings across time zones and working outside local timezone when needed.
- Experience organizing team social events; collaborating with a diverse, open, and inclusive approach.
