The Office of the Chancellor has an opening for a full-time University Staff (unclassified) Executive Assistant position.

Since joining CU Denver in July 2020, Chancellor Michelle Marks has pursued an ambitious vision for the future of CU Denver and its impact as a leading urban public research university.

In her first year as chancellor, she led the university in a highly collaborative, ambitious strategic planning process, completed in June 2021. CU Denver’s 2030 Strategic Plan  promotes social mobility and workforce sustainability through an evolved vision of a university that expands education, enhances economies, and uplifts communities to work for all. It outlines goals for advancing research and creative work, developing an open innovation district in downtown Denver, and being known as a university for life, among others. Dr. Marks continues to engage the university community during every step of the implementation phase of this strategic plan to realize its bold goals.

Externally, Dr. Marks brings a renewed focus to forging leading community, institutional, and industry partnerships that will not only accelerate CU Denver’s vision but also align the university’s growth with community and workforce needs.

Nature of Work

The Executive Assistant to the Chancellor is a critical member of the Office of the Chancellor team, which includes the Chancellor, Chief of Staff, Manager of Chancellor’s Office Operations, and Assistant to the Chief of Staff. This position is charged with the administrative and technical support of the Chancellor’s Office and the Chancellor herself. This position advances the Chancellor’s goals by ensuring that scheduling, communication, and meeting/event logistics are accurate and managed promptly. As a key point of contact for the Chancellor, this position interacts on her behalf with students, faculty, and staff, as well as the greater Denver community.

Areas of core responsibility include managing the Chancellor’s calendar and executive travel, serving as a liaison with key offices on CU Denver’s Campus and across the CU System, expense reimbursement, event support, and other projects as needed. Working in tandem with the Manager of Chancellor’s Office Operations and CU Denver’s Chief of Staff, this person will take initiative to achieve goals and objectives, while maintaining confidentiality and supporting positive working relationships. The role requires strong organizational and project management skills, effective problem solving, and the ability to handle complex tasks under pressure with the agility and flexibility necessary in an evolving and fast-paced environment.

Supervision Received: This position receives day-to-day supervision from the Manager of Chancellor’s Office Operations.

Supervision Exercised: This position does not exercise direct, formal supervision over any other employees.

Examples of Work Performed:

  • Manage the Chancellor’s calendar, ensuring that engagements are appropriately reviewed and prioritized. Create systems to track all scheduling requests with accuracy. Communicate status of requests with internal and external stakeholders.
  • Oversee the Chancellor’s executive travel, including bookings, reservation management, itineraries, and briefing documents.
  • Respond in a timely manner to requests from various sources, both internal and external, for the Chancellor’s time.
  • Create internal documentation and processes to support streamlined office operations.
  • Liaise with the system office on all scheduling matters related to the Board of Regents and Office of the President.
  • Handle/maintain/develop routine correspondence and materials, sensitive and confidential employee information, and employee personnel files.
  • Work with Manager of Chancellor’s Office Operations, Chief of Staff, and other Cabinet-level offices on logistics and set-up for key meetings and events.  
  • Manage general office administration and operations including facilities needs, supplies inventory, processing expense reimbursements, time reporting, etc.  
  • Be responsible for updating information on memberships and subscriptions for the office.
  • Be able to adapt and work in partnership with various administrators.
  • Other responsibilities, as needed.

Minimum Qualifications:

  • Bachelor’s Degree in a related field from an accredited institution. 
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • 3-5 years senior-level executive support experience.

Required: Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • At least four (4) years of experience working in a complex university environment with progressive responsibility; experience supporting higher education executives preferred. 
  • Experience working with Concur, or similar, procurement and travel software.

Salary and Benefits:

The salary range (or hiring range ) for this position has been established at $60,000 to $85,000.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
