EXECUTIVE ASSISTANT, School of Architecture and Planning (SA+P), to provide complex administrative support and oversee projects for the dean and to the associate deans as needed. Responsivities include triaging and managing the dean’s email and written correspondence; managing the dean’s highly complex calendar; planning complex travel; working with communications and/or development staff to draft remarks, talking points, messages, acknowledgment letters, and letters of recommendation and nomination on behalf of the dean and the Dean’s Office; managing the dean’s task list and tracking follow-up activities by multiple actors to assure timely completion of projects; researching information and drafting memos, letters, briefing materials, and reports for use by the dean; managing ad hoc and special high-level events and projects; keeping the dean’s academic information updated (e.g. biographical data, CV); providing support to School Council, including setting weekly meetings and agendas, taking minutes, and following up on action items; greeting visitors to the dean’s suite; and assisting with projects, events, coverage, and other activities as needed.  


Job Requirements
REQUIRED: high school diploma or its equivalent; seven years of administrative, office, or related experience required; ability to multitask in a fast-paced work environment with changing priorities and limited supervision; excellent judgment, tact, and discretion with sensitive/confidential matters; excellent writing, proofreading, analytical, problem-solving, interpersonal, and customer service skills; comfort working in a diverse, multicultural environment; advanced-level technical/computer skills, including proficiency with MS Office, Google Workspace, and Dropbox; and willingness to seek out and learn new systems.  PREFERRED:  bachelor’s degree, experience working for a senior leader, experience managing email and calendars, supervisory skills, and experience at MIT and/or in a higher education setting.  Job #21951-8
