EVENTS PLANNING ASSOCIATE, Center for Real Estate (CRE), to coordinate, organize, and provide on-site event logistical, technical, and AV support to ensure MIT/CRE classes and events are successfully executed.  Will coordinate and provide advance and day-of support to faculty, staff, students, and partners with events/meetings/classes/workshops/conferences, sometimes simultaneously and with competing deadlines.  Will independently coordinate and oversee event preparation, execution, and break down, including speaker and participant travel needs; set up, monitor, and manage participant registrations; evaluate, reserve, and manage services and event spaces; send invitations, reminders, and confirmations to participants and attendees; provide on-site AV and other event support; identify, interview, and evaluate potential vendors and service providers and make recommendations; manage physical and online access for event participants, speaker,s and visitors, including advance-planning and the timely collection of information required for Tim Tickets, transportation, parking arrangements, space access and preparations; and manage AV equipment inventory and reservation systems for CRE faculty, instructors, classroom assistants, and staff.

Job Requirements

REQUIRED:  high school diploma or its equivalent; five years’ related experience, including six-months’ experience with Zoom meetings and webinars; some knowledge of AV systems or willingness to learn; excellent customer service skills; and ability to multitask, be on-time, and work independently under limited supervision.  PREFERRED:  bachelor’s degree; one year of experience providing high-demand, competing event and classroom support in both live online and in-person settings; AV-related work experience supporting courses/events, including setting up and managing in-person/online hybrid events; familiarity with MIT operations; understanding of networked-based AV systems (installed, portable, and online); experience posting content to WordPress, EventBrite, or other web-based event registration platforms.  Job #22067-6

This position involves frequently working evening hours and occasional weekends.

This is a one-year term position with a possibility of renewal.
