Residing in the MD Program, the Curriculum Office supports the development and implementation of the MD Program curriculum to students. As Electives Coordinator, you will support the Curriculum Office through the development, planning, delivery and evaluation of electives, with a focus on Visiting Student electives. Serving as the primary point of contact you will respond to program inquiries providing detailed information on processes, policies and procedures. You will also review online program applications for eligibility and completeness, monitor and communicate any changes or cancellations to the program and/or events and support with the coordination of the student placement process. Your impeccable interpersonal skills, keen interesting and strong aptitude for navigating technology, and ability to process a high volume of placement applications will contribute to the ongoing success of the Student Elective Program.

Your responsibilities will include:

  • Providing detailed information on processes, policies and procedures related to the Electives Program
  • Fostering and maintaining positive relations with stakeholders to support student placement activities
  • Supporting with the program eligibility review process including checking completeness of applications, following-up with applicants regarding outstanding documentation and ensuring candidate’s eligibility to participate in the program
  • Coordinating rotation schedules and responding to and resolving minor complaints related to student placement performance issues
  • Troubleshooting and resolving routine issues, and escalating issues as required.
  • Analyzing data and preparing draft statistical reports and summaries
  • Exchanging information at formal department and/or program committee meetings
  • Writing routine documents and correspondence including drafting and editing partnership agreements and editing content for brochures, newsletters, websites etc.; Analyzing service delivery and internal processes, and making recommendations for improvement

Essential Qualifications:

  • Bachelor’s Degree or acceptable combination of equivalent experience.
  • Minimum two years of experience in academic program administration within a University, teaching hospital or comparable environment
  • Experience providing front-line support to both students and faculty
  • Experience applying course/program policies and procedures
  • Administrative experience liaising with external stakeholders to foster collaboration and to support initiatives.
  • Experience drafting correspondence and editing information in communication materials and on websites
  • Experience compiling and analyzing data and generating reports
  • Experience assessing processes and making recommendations forimprovements
  • Experience reviewing documents/applications and checking for completeness
  • Advanced computer skills, including proficiency with MS Office Suite, Adobe Professional, Web Conferencing platforms (Zoom, Teams), student informationsystems and learning and content management systems
  • Good organizational skills with a demonstrated ability to effectively set priorities, identify problems and recommend appropriate solutions
  • Proven ability to work independently and effectively manage competing priorities while maintaining a high degree of accuracy and quality
  • Ability to work cooperatively as an effective team player, projecting a positive, professional, courteous and congenial attitude
  • Exceptional oral and written communication skills
  • Self-motivated and willing to overcome challenges to achieve goals

Pay Scale Group & Hiring Zone: 

USW Pay Band 09 — $65,407 with an annual step progression to a maximum of $83,646. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
