The Opportunity:

Reporting to the director of Disability Support Services (DSS), the coordinator provides oversight, implementation, and planning of testing services for disabled students with assigned testing accommodations, and for other students as capacity allows. Works with Disability Support Services staff, faculty members, student proctors, students, and academic advisors to identify and meet testing needs. Must address any identified concerns as they arise and plan and make recommendations to the director for current and future testing support. Provides training for and supervision and evaluation of student proctors. Exercises good judgement in notifying the DSS director of any concerns or pending concerns that could affect center operations and/or the students and faculty who use the center. Expected to work some evening hours and Saturdays as needed. Expected to assist the accessibility coordinator during peak intake periods when testing requests are at a minimum, as assigned by the director. Makes recommendations to the director, or designee, in any areas needing decision support.

Center Operations/Student Support

• Oversees all aspects of the ERAU Prescott Testing Center, including hiring, supervising, and evaluating of student proctors; utilizing the DSS data system (AIM) and other software to check accommodations, schedule and track appointments, and prepare status reports.
• Meets as required with the DSS director to discuss center operations and other related issues.
• Keeps the director apprised of any problems or concerns affecting center operations and/or the students and faculty who use the center.
• Ensures FERPA and ADA compliance.
• Addresses student and faculty member needs with appropriate testing options.
• Anticipates minimum student worker staffing levels, coordinates staff schedules to reach those levels, and approves timesheets.
• Prioritizes center usage according to the guidelines established by the director.
• Monitors seating capacity, including identifying peak times for testing, especially during the final exam period at the end of each semester. Notifies the director whenever usage requests approach full capacity.
• Identifies alternate testing sites, and arranges for their use, with approval of the director, if needed to meet capacity during peak testing times.
• Tracks center expenses and makes budget recommendations to the director.
• Addresses problems quickly as they arise and recommends or implements solutions, depending on the nature of the problem.
• Identifies software, hardware, and other tools and space requirements; and proposes changes to the director based on current and anticipated needs.
• Prepares and maintains standard operating procedures, policies, and guidelines for the testing process with approval of the director
• Conducts occasional reviews of other universities’ programs to recommend and implement center best practices.

Staff Training & Development

• Creates and implements student proctor orientation & training programs, including FERPA and ADA compliance training. Stays informed on key innovations and best practices in student proctor training.
• Reviews student and faculty feedback, addresses issues, and provides guidance to student proctors to improve support for users of the center.

Data Management

• Tracks data on center operations and prepares usage reports as requested by the director, such as number and type of students tested, number of tests given, type of services provided, number of student proctor hours.
• Is proficient in the use of data systems, such as AIM and other software systems that supports access to student profiles and scheduling and testing requests.
• Provides secure storage of tests and student test answers.
• Ensures that students’ test answers are made available to faculty in a timely manner.

Qualifications

Required Education

Bachelor’s Degree – Area of study: higher education, business, or related field

Required Skills, Knowledge, & Abilities

• Analytical skills with an in-depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.
• Ability to manage a student center
• Ability to manage and supervise student employees
