Position Focus:

Under limited supervision, the Program Coordinator provides advanced analysis and expert support including drafting proposals, reports, stewardship reports, gift agreements in support of Yale School of Management (Yale SOM) initiatives, programmatic reports, and internal and external correspondence that confirms to the style and voice of the sender, and other communication materials. Additional responsibilities include maintaining and analyzing detailed database records, project management and research, planning and staffing special events, and other administrative tasks and related responsibilities. This position reports to the Senior Director for Campaign and Advancement Strategy with a secondary report to the Managing Director of Development, Institutional Philanthropy. Drafts a variety of written materials, including proposals, stewardship reports, and gift agreements in support of SOM initiatives, programmatic reports, and internal and external correspondence that conforms to the style and voice of the sender. Designs and produces ad hoc reports based on data extracted from primary databases using Excel and other software. Supports the implementation of Yale SOM&’s capital fundraising and engagement campaign including the development of materials, tracking of campaign progress, implementation of events, and other special projects. Undertakes research using a variety of sources to prepare, update, and maintain fundraising materials that are used by the Yale SOM Development team. Coordinates with and collects information from other Yale SOM departments as needed for development purposes. Ensures the accuracy of fundraising materials with a strong attention to detail and proofing skills. Builds strong relationships with team and partners and serves as a key contact for specific projects or departmental needs. Interacts with donors/alumni at the request of manager and/or team directors in response to inquiries. Supports other activities of the Yale SOM Development office as needed. May perform other duties as assigned. The following Essential Duties are generic in nature; the information contained in this Position Focus is most relevant to this position.

Essential Duties

1. Coordinates with other departments at Yale to develop or enhance proposals and briefings summarizing Yale activities, and to plan events. 2. Develops and maintains a log of Yale academic and programming activities having development potential for prospects and donors. 3. Coordinates and staffs events. Helps secure hosts and locations for events. Works with Special Events team to secure campus locations. Produces invitation and confirmation cards. Compiles and maintains invitation lists, extend invitations, confirms attendance, ensures attendance accuracy, prepares biography for guest speakers, prepares Event Flow documents, staffs selected events, and contacts vendors. 4. Conducts research on individuals, corporations, foundations, governments and institutions using office files, databases and internet search engines and resources, including sources in other languages when relevant for international development. 5. Drafts a wide variety of written materials including detailed biographical and business briefings, correspondence, proposals, endowed gift agreements and stewardship reports. 6. Designs, develops and produces ad hoc reports and analyses by report generation and manipulation of information systems, including our primary Alumni database. 7. Researches and investigates gift commitments using office files and databases. Ensures the accuracy of gift acknowledgments and all information relayed to prospects. 8. Builds strong relationships with staff and serves as a key contact on questions relating to various departmental needs. 9. Interacts with donors at the request of director and/or gift officers in response to inquiries. 10. Assists with the assignment of tasks to student workers. 11. May perform other duties as assigned.

Required Education and Experience

Eight years of related experience, six of them in the same job family at the next lower level and a high school level education; or six years of related experience and an Associate’s Degree; or two years of related work experience and a Bachelor’s Degree; or an equivalent combination of experience and education.

Required Skill/Ability 1:

Demonstrated ability to manage multiple projects in a fast-paced environment successfully with attention to detail and modeling a high level of integrity. Ability to maintain strict confidentiality. Ability to manage a high volume of information and organize it in a professional and intelligent manner.

Required Skill/Ability 2:

Exceptional communication skills; special emphasis on advanced writing capabilities and to represent information in a graphical format. Writing sample required. Demonstrated organizational and research abilities, including analyzing large volumes of data or information from disparate sources and synthesizing it in cogent and concise report or written form.

Required Skill/Ability 3:

Technological skills necessary to perform data analysis and create various reports and spreadsheets. Proven advanced ability in using Microsoft Office software, especially Excel, Word, PowerPoint, and Outlook. Demonstrated understanding of internet browsers, and operating systems to carry out various tasks. Comfortable learning new technologies.

Required Skill/Ability 4:

Demonstrated ability to prioritize work, manage multiple tasks, and meet deadlines in a time-constrained environment. Ability to initiate and complete tasks with minimal supervision. Proven skills in attention to detail, excellent judgment, proactive, collaborative, and solutions oriented.

Required Skill/Ability 5:

Commitment to an inclusive workplace. Ability to engage with diverse audiences. Ability to handle sensitive information in a fast-paced, high volume, environment. Demonstrated ability to remain detail-oriented throughout tasks and reporting projects to ensure accuracy.

Preferred Education, Experience and Skills:

Two years of administrative or professional writing experience. Experience in a university setting working with sensitive and confidential information. Familiarity with Yale University. Previous development experience.
