The School of Life Sciences (SOLS) Personnel Office seeks a highly motivated individual for the position of Department Human Resources Specialist Sr. This position will perform work of considerable responsibility in administering human resource functions in a complex academic unit with research and instructional emphasis. The responsibilities are sensitive and confidential in nature requiring considerable independence, judgement, and skill.
We are looking for a seasoned human resource professional who knows how to anticipate service excellence, is a self-starter who naturally takes initiative, has strong communication skills, is organized, and maintains effective time management. This position works both independently with general direction and as part of a larger team delivering an extensive scope of support and assistance within the school.

Essential Duties

• Coordinates recruitment and hiring of student workers, staff, postdoctoral research scholar, and academic professionals utilizing Kenexa BrassRing or Interfolio
• Processes semester hiring for faculty associate and academic associates as well as summer salary for faculty
• Responsible for bi-weekly Designated Time Administrator (DTA) and payroll submission process
• Processes payroll reconciliations to ensure accurate and timely submissions, resolve discrepancies, and retention of proper supporting documents for audit purposes
• Facilitates position management changes such as promotions, pay increases, FTE, additional pay request, renewals and terminations in PeopleSoft
• Coordinates visa applications and renewal processes as well as the permanent residency processes
• Administers various affiliation requests with the School of Life Sciences to include: courtesy affiliates, adjunct affiliates, affiliated faculty, and volunteers
• Works with faculty and staff to aid in coordination of FMLA and ASU leave requests and ADA accommodation requests
• Oversees maintenance and confidentiality of appropriate personnel records based on Office of Human Resources, state, and federal guidelines
• Assists in the development or updating of internal business processes and job aids to comply with changes in procedures and/or business practices
• Cross trains with other members of the team to provide support during peak operations and to serve as backup
• Responds to a diverse range of questions from faculty, staff, and students by phone, email, and in -person
• Performs other duties as assigned to ensure continuity of department operations and to meet customer service needs

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, OR, Nine (9) years of related administrative experience, OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

• Experience in an academic unit implementing human resource practices, regulations and standards
• Experience using the following:  Kenexa BrassRing, Interfolio, PeopleSoft, Time and Attendance System (TAS), Microsoft Word, Excel, Outlook, Google Drive, Dropbox and Adobe Sign
• Experience with work that requires high attention to detail and critical thinking skills
• Experience in providing quality customer service standards and practices
• Experience in high volume hiring and recruitment processes
• Experience monitoring time reporting data and processing payroll transactions
• Knowledge of FMLA, ADA, FLSA, ACA and all applicable federal, state and regulatory requirements, laws and standards
• Experience in managing visa applications and renewals
• Work experience in a fast paced, high volume office environment with short deadlines, ever changing priorities, and sensitive/confidential information
• Evidence of effective communication skills

Working Environment

• Activities are performed in an environmentally controlled office setting subject to extended periods of sitting and use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, and mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals
• Attend virtual meeting and be able to use web conferencing (with video) and chat software; including Zoom and Slack
• May be required to stand for varying lengths of time and walk moderate distances to perform work
• Regular activities required ability to quickly change priorities which may include and/or are subject to resolution of conflicts
• Ability to clearly communicate to perform essential functions
• Options available for Alternative work schedules which can include: four 10-hour workdays in a work week; a nine-day 80-hour schedule over two work weeks for exempt employees only; staggered start and stop time; and Hybrid work which is an arrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or vice president-level approval is required.
