Primary Purpose of Position This position serves as the Department Administrator and administrative support to the SIS Department Chair.
Minimum Education/Experience Required Minimum Qualifications:
Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Four year degree in a related business function and two or more years of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.
Essential Job Duties
  • Responsible for the daily functions of the department.
  • Manages the department Chair’s calendar and meetings, assisting him/her with correspondents as needed.
  • Monitors multiple state budgets, handling of complex payments, tracking expenditures and reconciling accounts.
  • Assists with tracking funding and expenditure in grants and contracts within the department.
  • Manages department full-time and part-time faculty hiring and reappointment and keeps up with faculty review, promotion, and tenure files.
  • Processes travel requests and procurement, supervises student workers; may also supervise other staff members in the department to make sure the corresponding duties are accomplished effectively and accurately.
  • Serves as backup support for the ICC (Integrated Curriculum Core) unit as requested.
Other Work Responsibilities Assists the department with arranging small events through the year.
Departmental Preferred Experience, Skills, Training/Education
  • Graduation from a four-year college and demonstrated knowledge, skills, and abilities gained through four years of specialized office experience or an equivalent combination of education and experience.
  • Two to three years of budgeting/finance experience.
  • Previous experience as an executive assistant and/or supervisor.
  • Ability to learn/use campus-specific systems such as Banner, 49er Mart, p-card.
  • Excellent written communication, verbal/interpersonal, and customer service skills.
  • Attention to detail with accuracy is essential.
  • Knowledge of processing hiring faculty paperwork.
  • Experience working in Higher Education is a plus.
