ATTENTION:

 The Department of Admissions within Enrollment and Retention at the University of Wisconsin – Whitewater seeks a CRM Coordinator(IT Business Analyst II (IT071).  

JOB DETAILS:

 The Customer Relationship Management system (CRM) Coordinator will work as a team member in a fast-paced workplace focused on customer service and growth in both quality and quantity of students. This is a 12-month, full-time position that reports to the Assistant Director of Admissions. The CRM Coordinator will assist with the management and assessment of outgoing recruitment communication through various channels, with main responsibilities being the management of the CRM (Slate). This position will maximize available technology for the purpose of recruiting students to UW-Whitewater. The CRM Coordinator will facilitate training, upgrades, and ongoing maintenance to ensure effectiveness of the CRM product. This position will also support admissions outreach through web and texting capabilities. This position will work on campus full time. Remote work is not anticipated, but may be granted in extenuating circumstances or at the discretion of the Director of Admissions.

QUALIFICATIONS:

 Required qualifications:  

·     Earned Bachelor’s degree or earned Associate’s degree with comparable experience

·     Experience with database management or software applications such as a Customer Relationship Management (CRM) system or student information system

·     Strong written and verbal communication skills

·     Commitment to developing an inclusive and collaborative work environment among faculty, staff and students

·     Valid driver’s license (or ability to obtain a valid driver’s license)

Preferred qualifications: 

·     Earned Bachelor’s Degree 

·     Experience working with and using a CRM, preferable Slate by Technolutions

·     Working knowledge of Admissions business processes

·     Strong organizational skills with attention to detail

·     Ability to work independently and as a member of a team

·     Experience with data analysis and strategic planning

·     Ability to think creatively and develop initiatives from concept to completion

RESPONSIBILITIES:

The following examples of duties and responsibilities illustrate the general range of tasks assigned to the position, but are not intended to define the limits of required duties. Other essential duties may be assigned consistent with the general scope of the position.

Coordinates the daily maintenance and ongoing implementation for the Customer Relationship Management system (CRM) within the admissions office. Collaborates with ICIT (Instruction, Communication and Information Technology) to assure functionality and interface of CRM system. (60%)

·         Meet with admissions staff to determine and implement strategies to optimize the CRM to improve recruitment practices.

·         Perform implementation planning and software maintenance on CRM.

·         Conduct testing of software updates and new implementations/upgrades on CRM.

·         Understand PeopleSoft functionality and admissions workflow; make recommendations to ICIT to assure data sharing between systems occurs with accuracy.

·         Assist with ongoing training regarding CRM use to Admissions staff members and student staff. 

·         Understand all recruitment related activities and outreach, in order to schedule and assist in the planning of campaigns.

·         Assist with design in building campaigns within the CRM to meet admissions staff needs. Manage activation, deactivation and effectiveness of campaigns.

·         Work collaboratively with the Admissions Marketing Coordinator and University Marketing and Communications on the creation of communication strategy.

·         Oversee batch loads and imports of data into CRM; clean and format as necessary. Collaborate with staff to assure timely upload of leads.

·         Additional duties as assigned by the Assistant/Director of Admissions.

Facilitate and support texting capabilities/website management (30%)    

·         Provide support to various technologies within the admissions office, such as texting platform and various web products.

·         Assist with training staff and remain up-to-date with upgrades.

·         Evaluate effectiveness of outreach and create analytic reports on such tools.

·         Collaborate with ICIT and product vendors to better align product with admissions needs.

Office support (10%)

·         Develop and maintain professional contacts with comparable UW units, businesses, education institutions, and vendors.

·         Maintain ongoing research and analysis on emerging recruitment and CRM technology that could benefit overall function of the Admission Office.

·         Perform other duties as assigned by the Assistant Director/Director of Admissions.
