Course & Program Administrator

The Department of Computer Science , a large academic/research department, seeks a highly competent and efficient individual to support:

  • COS 217 course administration – This course currently enrolls over 200 students and growth is expected. The course teaches programming skills for systems building and introduces ARM assembly language and machine learning.
  • COS 226 administration – This course enrolls over 200 students with expected growth. The course surveys the most important algorithms and data structures in use on computers today.
  • COS 240 administration – This course enrolls over 100 students and is an introduction to mathematical topics relevant to computer science.
  • Diversity & Inclusion initiatives – The Computer Science department sends 30 – 40 students to the annual Grace Hopper celebration which supports women and non-binary people in technology. This event supports the department’s and SEAS’ Diversity and Inclusion goals. In addition, this position may support other diversity initiatives within the department.
  • Undergraduate Program support – General support to the undergraduate team.

 

The Course & Program Administrator must be highly organized and comfortable collaborating with faculty, lecturers, graduate students, and administrators from across the University; in addition to supporting students. 

 

Course administration for COS 217, COS 226 and COS 240

For each course:

  • Assign graduate Assistant in Instruction and faculty preceptors to precept course sections
  • Manage student enrollment, including helping students switch precept sections
  • Manage course Canvas site
  • Monitor the ED Discussions Q&A platform (threaded discussion tool) to answer students’ administrative questions
  • Track student course participation, including attendance, extensions on assignments, and missing or late assignments
  • Alert faculty to students who may require Academic Early Alerts (AEA)
  • Manage student accommodations from the Office of Disability Services
  • Assist course faculty with limited exam grading tasks, such as printing and scanning exams, and checking student honor codes
  • Schedule additional rooms needed for the course (i.e. extra exam rooms, accommodations rooms, makeup exams)
  • Manage virtual makeup precepts for students who are isolated due to COVID-19 or otherwise unable to attend precepts in person
  • Calculate and post midterm and final grades
  • Attend senior staff meetings
  • Support course instructors and preceptors as requested

Diversity & Inclusion Initiatives

Grace Hopper conference administration:

  • Coordinate and manage all aspects of 30 – 40 students’ travel and participation
  • Work with Undergraduate Program Manager and Undergraduate Administrator on application and selection process
  • Manage conference registration and payment for student attendees
  • Communicate announcements and reminders to students and respond to questions and concerns regarding the event.
  • Schedule a Grace Hopper luncheon for all participants and women on the COS faculty.
  • Coordinate with the ECE department regarding travel.
  • Prepare data on conference attendance to share with the Program Manager, SEAS Diversity, and Department Manager.
  • Create post-conference survey and review results with Undergraduate Program Manager and Undergraduate Administrator

Additional duties:

  • Support diversity & inclusion programming/initiatives, as requested

 

Undergraduate Program Support

  • Collaborate with the undergraduate team in the Computer Science department
  • Participate and support undergraduate events including Academic Expo, Advising Fair, Senior Dinner, Class Day, Open Houses
  • Support the Independent Work Administrator as requested (for example, assisting with student enrollment, reserving classrooms, and organizing meetings)
  • Support the undergraduate team as requested

Essential Qualifications

  • Associates degree
  • Less than 1 year of related work experience
  • Excellent organizational skills
  • Excellent written and oral communication
  • Experience with Microsoft Office Suite and ability to quickly pick up new technology and systems
  • Strong interpersonal skills required
  • Ability to work with a diverse group of people
  • Patience with students
  • Prior experience in an academic setting
  • Must possess the ability to work independently and manage daily interactions with faculty, students, and staff with minimal direction
  • Comfortable working in a fast-paced environment

 

Preferred Qualifications

  • Bachelor’s degree
  • Knowledge of Princeton University systems
