Job Description:

Budget Title: Staff Assistant (SL-2)

Salary: Commensurate with experience

The Course Building Assistant, reporting to the Associate Director of Course Building, will be responsible for assisting with all aspects of the Course Catalog and Schedule of Classes, including classroom assignments and final exam scheduling. This includes helping to ensure that the Schedule of Classes is error free, complies with all business rules, provides the departments/schools the functionality they need in their course offerings, minimizes student registration problems due to course set up and accurately reflects supplemental data required by SUNY.

The Course Building Assistant will be the primary conduit for developing and distributing communications and spreadsheets/reports to course building staff for their review and action. This person will monitor responses from course building staff and perform troubleshooting and follow-up.

The Course Building Assistant will have the following primary responsibilities:

  • Monitor office email for course changes and ensure all course change requests are processed accurately and in a timely manner and comply with policies and business rules, assigning to other CBASM staff, as appropriate
  • Assist with development and testing of all training materials for course building processes
  • Develop SAS reports and distribute spreadsheets for large room requests, missing instructors, final exam requests, edit reports, prime reports and other ad hoc reporting
  • Collaborate with ITS on continued functionality and modifications to SAS Canned Queries and Schedule of Classes Daily Reports
  • Assist with the finalization of the schedule of classes, room assignments and final exam scheduling
  • Establish procedures and perform monthly required testing of upgrades and patches affecting Banner catalog and schedule
  • Participate in testing of B There set-ups along with upgrades and patches to the scheduling software.
  • Coordinate with Institutional Research staff to correct all catalog and schedule errors with SUNY/SIRIS reporting requirements
  • Provide updates to Banner Catalog for Applied Learning attributes and other general maintenance items
  • Create ad hoc reports, as requested
  • Serve as integral member of CBASM team and have basic knowledge of all aspects of the department functions
  • Maintain course building contact list, including adding new course builders to REGDIST listserv.
  • Ensure department website is up to date


Requirements:

  • Bachelor’s degree and minimum two years’ experience working in higher education setting
  • Ability to work as a team member and independently, as the task requires
  • Strong organizational and time management skills including the ability to prioritize workload
  • Excellent attention to detail
  • Strong interpersonal communication skills, both oral and written
  • Technical expertise in the use of spreadsheets, presentation programs, databases and enterprise data systems and ability/eagerness to learn new programs/systems
  • Visa sponsorship is not available for this position

Preferred:

  • Experience with academic class and event scheduling systems
  • Experience with Banner 9 or other Student Information System
  • Experience with Base SAS and/or SAS Enterprise Guide
