Position Summary

The Lamont-Doherty Earth Observatory of Columbia University is seeking a Coordinator, Marine Recruitment & Staffing for a full-time opportunity. This position is responsible for: all aspects of recruitment and staffing; payroll, and travel logistics within the OMO. Reconciles: ledger accounts; banking; assists with agent statements for marine operations for the R/V Marcus G. Langseth. Acts as department liaison for Union contract(s) and payment(s). Assists with budget preparation and proposal submissions and works under the direction of the Financial Administrator.

Responsibilities

  • Responsible for: payroll processing; personnel issues for all OMO staff (crew and non-crew). This includes: processing all new hires; ensuring all licensing documentation meets regulatory requirements; International Safety Management audit regarding personnel; coordinates random drug testing; maintains strong communication with ship’s personnel.  Assists with reconciliations for bank accounts; positive pay; ship’s draw; receivables/over payment recoveries and agent statements. Assists with preparation proposal budget for ship’s crew. Insures compliance with MEBA and MMP collective bargaining agreements and with University policy.  Provides information to OMO managers as requested to assist in the preparation of budgets and proposals.
  • Coordinates personnel and logistic requirements for ship’s crew and technical staff. Works closely with Director, OMO to coordinate crew rotations for both union and non-union staff as required.  Oversees the budget for crew and technical staff training program and coordinates program logistics. Processes salary assignments, cost transfers and create combo codes as needed. Clears the payroll suspense account on a monthly basis and assist in the payroll certification process. Assists with response to crew maintenance and cure claims under the ship’s P&I policy.
  • Conveys benefit information and enrollment forms when necessary. Prepares Union payments and quarterly travel report. Coordinates with the Procurement Coordinator position on travel/travel vouchers. Will assist with development/modifications of new and existing policies and practices.
  • Will assist the Financial Administrator and other senior staff members with various financial/projects as needed.
  • Position receives general supervision including regular meetings with the Financial Administrator and Director, OMO for crew related matters.

Minimum Qualifications

  • Bachelor’s degree and or its equivalent required and 0-2 years of administrative experience.

  • This position requires demonstrated ability to prioritize, and handle concurrent tasks, manage daily task while also progressing on long-term objectives.

Preferred Qualifications

  • Prior experience in a marine operations environment and payroll a plus.
