Job Summary The Special Programs Coordinator manages one or more specific Division new, temporary, or ongoing programs with minimal supervision. This position oversees the project planning, implementation, review, deliverables, and wrap-up process; documents all aspects, working closely with internal and external constituents to ensure the scope of program is appropriate and complies with University policies and Division procedures and goals. The Coordinator provides and maintains a professional presence at the Arlington and Fort Worth Extension Campus, orchestrates meetings, and facilitates new partnerships, business and programs.
Essential Duties and Responsibilities
  • Coordinates and manages new, temporary, and ongoing programs for EEC by planning, implementing, establishing, and monitoring key performance indicators, and following up.
  • Develop and maintain project budgets. Handles the daily operations of assigned projects which may include enrollment, scheduling, and fiscal management.
  • Coordinates and lead high profile stakeholder meetings that include University officials, employers, and community leaders.
  • Facilitates and monitors off campus projects including meetings and site location visits.
  • Prepares routine status reports; prepares, interprets, and disseminates information on projects and prepares correspondence, reports, and other documents as needed
  • Performs other duties as assigned.
  • Travel required.
Required Qualifications
  • Bachelor’s degree in business, engineering or other related field with Five (5) years of experience in program and/or project coordination. OR equivalent combination of education and relevant experience may be substituted as appropriate.
  • Must be self-motivated, highly organized, and posses excellent verbal and written communication skills.
Preferred Qualifications
  • Master’s degree in related field; three years of experience in coordination of projects and/or programs.
Knowledge, Skills and Abilities
  • Solid working knowledge of Microsoft Word, Excel, and Teams; management principles; databases and data entry; and ability to learn and implement other software as necessary.
  • Organized with attention to details.
  • Analyze situations accurately and recommend effective courses of action.
  • Attend meetings and make oral presentations.
  • Communicate effective both orally and in writing.
  • Develop and maintain budgets.
  • Develop schedules and meet timelines.
  • Perform visual activities requiring prolonged attention to detail such as editing and proofreading.
  • Ability to hear and understand speech to interact with coworkers/clients/customers on a routine or frequent basis with use of amplifying equipment/hearing aids if needed.
Other Requirements Travel required.
Working Conditions Use of personal computer and standard office equipment. Usual indoor office environment. Sitting, standing, bending, lifting 20 lbs. of office supplies.
