Job Description

Access ASU is hiring a Coordinator focusing on supporting K-12 pre-college programs.

The Coordinator, under administrative direction, will assist with coordinating, planning and implementing outreach events hosted by Access ASU. This may include but not be limited to conferences, events and summer programs.

This position will provide the administrative duties associated with events and visits; i.e. oversight of the online registration system, preparing and processing administrative and financial paperwork/reports and maintain promotional item inventory.

The ideal candidate must work well independently in a fast-paced environment and provide a high level of customer service to both the university and external communities

The position reports to the Director – Experiences, and is IN PERSON primarily based on the Tempe campus and will be expected to travel to other campus locations and throughout metropolitan Phoenix.

Essential Duties

  • Work as part of a team to support Access ASU programs and goals
  • Assist with coordinating, planning and implementing events
  • Prepare and process administrative and financial paperwork and reports
  • Assist with coordinating the logistical aspects of events including: reservations, food and catering, rental and vendor agreements, online registration, tracking registrants, ordering supplies and other administrative duties as assigned
  • Deliver presentations to groups
  • Communicate effectively both orally and in writing
  • Use critical thinking to make decisions and/or analyze data
  • Professionally represent department/program
  • Work collaboratively across various departments within the University as well as with diverse populations and groups to achieve objectives
  • Supervise, train, and develop student employees
  • Coordinate communication and collaboration in support of Access ASU initiatives
  • Gather, maintain, analyze, and submit data reports related to Access ASU
  • Assist with tracking program expenditures where appropriate.
  • Establish and maintain strong relationships with internal and external partners
  • Travel to off-campus meetings and events regularly.
  • Represent Access ASU at events and serve on various department and university committees
  • Perform other duties as assigned.

DAYS AND SCHEDULE:
Work location is primarily in-person at the ASU Tempe campus.  The incumbent will be required to drive personal vehicle to other ASU campuses to perform work, and community events.

Work schedule will be flexible, depending on when programs are offered, to include nights and weekends. On days when programs are not offered, work schedule will be Monday – Friday 8 a.m.-5 p.m.

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience working with middle or high schools and/or higher education.
  • Experience working with college preparatory programs that serve first-generation and/or low-income students.
  • Evidence of effective communication skills.
  • Experience managing multiple projects and prioritizing workload.
  • Demonstrated knowledge of basic computer skills, including use of MS Office applications (e.g., Word, Excel, PowerPoint, Publisher, Access, Outlook), social media (e.g., Facebook, Twitter, etc.), Google Drive and ASU computer systems (e.g., PeopleSoft, Salesforce, Canvas, etc.).

Working Environment

  • Activities are performed in an environmentally controlled office setting
  • Sit or stand for prolonged periods of time
  • Use computers effectively – including inputting, reviewing and retrieving information, extended periods of viewing screen, and using mouse and keyboard
  • Walk throughout campus for meetings or events, regardless of the weather
  • Lift up to 35 pounds
