Job Description:

Working with the primary meeting and event manager in the Continuing Medical Education (CME) Office. Duties will include:
-Working directly with speakers to assist with travel plans, hotel arrangements, and gathering required CME forms
-Reviewing documentation and verifying compliance with accreditation requirements.
-Assisting with the design and distribution of the marketing pieces as well as design and maintenance of the event websites and event social media
-Coordinating the event details with the venue pre-conference
-Creating and managing event budgets
-Contacting and coordinating exhibitors
-Assisting with hotel contract negotiations
-Creating welcome emails for participants, exhibitors, and speakers
-Designing welcome packets for participants and speakers
-Creating and distributing evaluations for events
-Applying for educational grants for events

Working on-site at the events; other duties in support of preparing and organizing successful meetings.

Serving as liaison with departmental coordinators for department managed live CME activities. Duties include reviewing application and marketing materials for accreditation requirements, coordinating website and registration services.

Other duties in support of CME as needed

Expected Salary:

$35,000-$42,000 commensurate with education and experience

Minimum Requirements:

Bachelors degree; or a high school diploma and four years of relevant experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.

Preferred Qualifications:

Bachelor’s degree in event management or equivalent degree
Conference/event planning experience
Ability to communicate and interact positively and effectively with the CME staff, conference speakers, and attendees
Ability to function autonomously
Ability to quickly learn and take on lead role for certain events
Ability to handle high volume of detail work with accuracy
Ability to handle multiple projects or tasks simultaneously
Function effectively in a fast-paced environment
Understand, interpret, and apply rules, regulations, policies, and procedures
Proficiency with Microsoft Office programs (Excel, Publisher, Word) and Adobe programs
