| Job Description: |
The Department of Surgery is seeking a Clinical Service Representative Supervisor to provide leadership, expert guidance, supervision, and oversight of all levels of Clinical Service Representatives within the HVH Clinic services units. Serves as subject matter expert and back-up all positions supervised as needed. Investigates errors and patient and provider complaints; recommends operational changes and facilitates policy and procedures changes as needed. Duties are as follows: Coordination of Care: Schedules appointments and tests as needed in compliance with the service team protocols, including O.R. scheduling and pre and post clinic visitations. Independently provides comprehensive operational support related to the scheduling function. Expedites patient financial counseling and medical record processing as needed. Schedules patient appointments under special circumstances, such as a physician-directed clinic bump. Arranges for special needs when applicable. Works with other sub-specialties (i.e., Radiology/Pathology) to arrange required ancillary tests and obtains authorizations when necessary. Tracks requests and results, and provides updated reports to clinical staff. Schedules patient appointments and obtains prior medical records and studies if appropriate. Arranges for special needs when applicable. Works with other sub-specialties (i.e., Radiology/Pathology) when applicable for patient scheduling. Uses e-Commerce, Medicaid Web Portal, and other online payer specific websites. Obtains authorization for clinical care, procedures and ancillary studies. Enters all scheduling information into IDX system. Prepares financial procedure quotes using the UFP system. Integrated Care- Arranges associated clinical, diagnostic or laboratory services and obtain authorizations when necessary. Directs patients to appropriate providers for other health care issues. Completes and routes direct referrals to other clinical services. Surgery scheduling — Coordinates and schedules all necessary orders for outpatient and inpatient surgeries, including bed control orders and pre-operative anesthesia appointments. Provides financial screening and counseling for hospital admission and procedures. Point of Service Operations – Greets patients and confirms appointments. Inspects insurance cards or authorization notices. Identifies and collects deductible, co-payment or deposit on services. Explains and satisfies any necessary patient signature requirements. May attend clinic with clinical staff to assist in coordination of patient care. Answers all incoming calls from patients, physicians and other health care providers (internal and external), attorneys, pharmacies, medical supply, drug companies, etc. Responds to patient, physician and attorney questions directly within scope of position. Routes calls to resident, physician extender or physician when appropriate. Enrollment and Authorization – Gathers and/or verifies patient information including demographics, insurance coverage and financial status. Obtains authorization for clinical care, procedures and ancillary studies. Enters all scheduling information into IDX system. |
| Expected Salary: |
$23 – $24.50 per hour |
| Minimum Requirements: |
High school diploma or equivalent and six years of medical office experience, that includes knowledge of CPT and ICD-10 coding guidelines as well as basic medical terminology. Appropriate college coursework or vocational/technical training may substitute an equivalent rate for the required experience. |
| Preferred Qualifications: |
Supervision experience; Good grasp of English language (grammar, spelling, punctuation); Knowledge of general office procedures and practices; Knowledge of principles and techniques of effective verbal and written communication; Ability to handle telephone calls in courteous and efficient manner, including empathy toward ill patients; Ability to organize and prioritize work-load; Knowledge of filing procedures; Ability to get along with others. |
