Position Focus:

Reporting to the Secretary and Vice President for University Life, serves as a senior advisor and works to effectively advance the Office’s university-wide priorities. A big picture thinker, the Chief of Staff conceptualizes new projects, runs pilots, drafts communications, oversees staff and works to align initiatives throughout the office towards the broader goals and vision of the University. More specifically, the Chief of Staff: Supports, designs, manages, and communicates about strategic initiatives of the Office of the Secretary and Vice President of University Life (OSVPUL), partnering with university leadership, division colleagues, faculty, and students to implement, manage, assess, and communicate the office’s programs and goals. Initiates and coordinates major planning projects and strategy arising in the office, providing substantive and analytic information to the Secretary related to emerging strategic projects and other priorities. Advances and monitors progress on the Secretary’s initiatives, identifying, assigning, prioritizing, and tracking specific assignments and projects. Serves as the Secretary’s representative and proxy in transactions with administrative and faculty leaders across campus, as well as student leaders, administrative staff and alumni who work closely with students. Plans and organizes high level strategic meetings, including student meetings with alumni volunteer leaders and others involved in student life by drafting memoranda, creating agendas, preparing minutes, and briefing university leadership presenting at such meetings. Works closely with Director of Communications and Events to facilitate and manage, where appropriate, communications and collaboration among the office’s staff, faculty, and leadership of the University. Particular focus on supporting the vice president’s interactions with trustees, key administrative and alumni leaders, and student leaders. Prepares communications, reports, and talking points for vice president’s high-level meetings. Responds to communications on behalf of the Secretary or delegates the responsibility appropriately. Conducts research, assists with the development and drafting of university policies, engages with university stakeholders when introducing new policy and provides input as a member of key university-wide planning committees. Handles the confidential disposition and/or resolution of complex and sensitive issues and challenges involving a variety of constituents. Oversees the work of administrative staff, providing guidance and coaching as needed.

Essential Duties

1. Leads high-priority campus and university life strategic projects, including: identifying gaps, articulating response timelines, conducting analysis and research, engaging stakeholders, and devising, implementing and analyzing action plans. 2. Manages the implementation of the strategic plan for university life at Yale, with responsibility for developing, implementing and monitoring all activities, communications and projects related to university life. Ensures alignment and engagement of students, faculty and staff, including senior leadership. 3. Works with colleagues across the university, including faculty and senior leadership, to anticipate priorities and requests for the Secretary/VP’s time from a variety of sources, including outside organizations. 4. Keeps abreast of trends and issues related to university life. Communicates full range of university life issues and concepts, as needed, in interactions with Yale colleagues and peers at other institutions. 5. Provides editorial oversight of materials related to university life, including speeches, talking points, substantive correspondence, reports and internal communications. Drafts materials as needed. Ensures that meeting materials, presentations and speeches are prepared or assembled in advance of the meeting or event, and that preparations for all future calendar events are on schedule. 6. Builds a community of practice at Yale. Leads key constituent meetings to ensure appropriate and responsive follow-up and accountability. Serves on and/or leads university committees, contributing expertise to critical issues. Represents Yale with peer institutions to learn from others and share experience and expertise. 7. Serves as a confidential resource for the Secretary/VP regarding developing issues and concerns related to campus life. 8. Oversees and directs a range of special projects and initiatives on behalf of the Secretary/VP. Monitors, staffs, and ensures progress in Secretary/VP-initiated campus life activities. Carries out additional responsibilities, as assigned by the Secretary/VP. 9. Works closely with other members of the team to ensure communication and follow-through on various projects and initiatives. 10. Performs other duties as assigned.

Required Education and Experience

Minimum of a Bachelor’s Degree and six years of related work experience; or an equivalent combination of education and experience.

Proven abilities in academic administration. Ability to develop, implement and interpret policies and procedures.

Required Skill/Ability 2:

Excellent ability to convert complex subject matter into readable, easy to understand material geared toward diverse audiences.

Required Skill/Ability 3:

Strong work ethic, ability to work independently and preference for eliciting multiple points of view. Ability to exercise sound judgment, excellent discretion and maintain confidentiality.

Required Skill/Ability 4:

Demonstrated organization, conflict resolution and problem-solving skills. Ability to lead diverse, inter-departmental initiatives and manage complex projects.

Required Skill/Ability 5:

Ability to build relationships and develop partnerships across schools and units. Ability to engage with diverse audiences (age, gender, nationality, race/ethnicity, profession, sexual orientation, etc.). Commitment to an inclusive workplace.

Preferred Education, Experience and Skills:

Advanced degree and prior administrative experience at senior level in higher education preferred.
