CELT Part-Time Senior Clerical Officer


 

Applications are invited for the above part-time, permanent post working in the School of Educational Sciences and in the University Centre for Enhancement of Learning and Teaching (CELT).

The Centre sits in the School of Educational Sciences, under the College of Human Sciences. The role holder, reporting to the Head of School, will be responsible for supporting the Director of CELT and the wider CELT team, including the PVC for Teaching and Learning.

In 2021 the CELT Unit came into the School of Educational Sciences and has an institutional role in supporting the development and enhancement of the Learning and Teaching Strategy 2030 and our ambitions as a university to deliver transformational learning experiences for our students.

The role holder will play a key role in supporting the CELT. Duties will include supporting the Director of CELT and the CELT team in the management of the University’s Advance HE accredited programmes (including the PGCert THE and the CPD Scheme), the University’s Teaching Fellowships Scheme, developing the branding for CELT, organising CELT events (such as conferences and CPD workshops), organising the CELT meetings and the meetings related to accredited Advance HE provision, and general team support, as the role requires.

Candidates should possess 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area (or equivalent) and have previous experience of working in an office environment in HE,  along with expertise/interest in developing the “branding” of CELT. Proficiency in the use of Microsoft Office applications and social media channels is essential, and the applicant must have experience of organising meetings and minute taking.

The successful candidate will be expected to commence as soon as possible. This is a part-time post working 21.75 hours per week. The ability to communicate in Welsh is desirable for this post.

This role will be located on campus at Bangor. Through our Dynamic Working framework , there will also be the option to spend some time working remotely (although remaining in the UK) to support work life balance, which will be discussed further with candidates at interview.

Purpose of the Job

To provide effective clerical support as part of the overall administrative support team within the School of Educational Sciences with specific remit to support CELT.

 


Main Duties and Responsibilities
  • To provide effective clerical support for the range of administrative activity to support the Director of CELT and the CELT team, and the PVC for Teaching and Learning in activities related to CELT.
  • Work with the CELT team in developing the branding of CELT.
  • To assist with the organisation and day to day operation of administrative processes and procedures.
  • Organise meetings, draft agendas, prepare papers, take minutes and circulate as appropriate.
  • Set and arrange workshop and conference sessions as required.
  • To communicate effectively with both staff and students and maintain effective working relationships with colleagues within the University, and external partners, including external examiners and reviewers.
  • Deal with daily incoming mail and process accordingly.
  • Type letters, reports, and documents using word processing facilities for the relevant programmes.
  • Maintain and update local systems and/or spreadsheets as requested by the relevant staff member/line manager.
  • Maintain the Blackboard site/s for the CELT programmes, in consultation with academic team members.
  • Support students and staff to navigate the systems and processes of the programme.
  • Organise access to services for staff from external organisations.

The post holder will be expected to participate in performance review and developmental activities.

Person Specification

Qualifications/Training

Essential

  • 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area (or equivalent).

Desirable

  • ECDL Certificate.
  • NVQ level 4 in a relevant subject area.

 

Experience/Knowledge

Essential

  • Experience of working within an office /administrative environment.
  • Proficient in the use of Microsoft Office applications (Word, Excel etc.) and social use of social media channels (e.g., Facebook/Twitter/Instagram).
  • Experience of organising meetings and minute taking.

Desirable

  • Experience of working within a Higher Education environment.
  • Experience of working with databases/publishing software.
  • Experience of working with virtual learning environments (e.g. Blackboard, Moodle).
  • Experience of developing and implementing administrative systems and procedures.

 

Skills/Abilities

Essential

  • Good communication and interpersonal skills, with the ability to communicate effectively, both orally and in writing.
  • Able to communicate and develop effective relationships with colleagues at all levels of the University.
  • Excellent organisational skills and ability to handle a varied and demanding workload and meet dealines.
  • Accurate data entry and attention to detail.
  • Ability to be proactive and identify and recommend changes for improvement where appropriate.
  • Ability to work independently and demonstrate initiative.

  • The ability to communicate through the medium of Welsh is desirable for this role. If applicants are not able to speak / write in Welsh at present, there are many opportunities to learn if the successful candidate wishes to do so.
