College of Medicine and Public Health
Key Position Responsibilities
Assisting the Director, Katherine Campus in relation to resources and management of assets.
Supervising other administrative staff at the Katherine campus.
Managing the usage and scheduling bookings for on-site facilities (such as Simulation Clinical Skills Lab);
Providing autonomous management of administrative functions including:
Planning, facilitating functions and catering when required.
Minute taking, distribution of minutes and providing general correspondence to staff. Ensure meeting items are actioned or followed up.
Administration of student accommodation including bookings, organising cleaning and managing or escalating issues with accommodation to the Property Manager, Rural and Remote Health.
Stock control and purchasing stores and equipment as required.
Maintaining contact management systems and arranging security access cards as required.
Developing, implementing, monitoring and reviewing administrative systems in accordance with Flinders policy and procedures in order to provide an efficient campus and to help consolidate the network of campuses across the Top End region, and across the NT ;
Providing general reception services for all staff, students and visitors;
Providing WHS and general induction/ orientation (to Katherine Campus and when necessary the town of Katherine), to students, visitors and new and ongoing academic and general staff.
Providing administrative support to academic staff including correspondence, data entry and analysis, to support the research activities of the Katherine Campus;
Liaising with students, clinical teachers, administrators and academics to ensure an efficient and effective delivery of the clinical placements, academic programs and research projects of the Katherine Campus;
Providing student support and establishing a robust communication system with students and course coordinators to inform program changes in a timely manner and be the point of contact between students and academics.
Acting as the WH&S and First Aid officer for the Katherine Campus;
Any other responsibilities in line with the level of the position as assigned by the Supervisor and/or the University.
Key Position Capabilities
Completion of a diploma or degree qualification in a relevant field OR an equivalent combination of experience and/or education and/or training.
Well-developed organisational and administrative skills with demonstrated ability to prioritise work, meet deadlines and use initiative in a busy work environment.
Well-developed computing skills in Microsoft Word, Microsoft Excel, databases, email, calendaring and the Internet, with ability to quickly become proficient with other programs as required.
Well-developed interpersonal skills and ability to build relationships and liaise with a broad range of stakeholders including students, staff, partners and community organisations.
Demonstrated ability to work harmoniously and cooperatively with other people and to work independently without supervision.
Demonstrated understanding of, and commitment to, the requirements of confidentiality within a professional work team.
Commitment to Flinders Rural and remote health social accountability mandate and to the principles of affirmative action for Aboriginal and Torres Strait Islander staff and students.
Demonstrates a commitment to fostering a positive workplace culture, and role modelling behaviours that support the University’s Reconciliation Action Plan (RAP) and commitment to enhancing educational opportunities for Aboriginal and Torres Strait Islander people.
Demonstrated ability to evaluate administrative systems and procedures and recommend improvements where appropriate.
Experience in the higher education sector in a student support role. (Desirable)
Understanding of health issues associated with living in a rural or remote environment. (Desirable)
