Job Description

Under the direct supervision of the Chair/Director or designated department administrator, assists with planning, organizing and coordinating the business operations functions in accordance with established goals, priorities, time limitations, funding limitations or other specifications. These functions include basic budgeting, accounting, payroll, staffing, academic services, and other functions designated by unit administrator.

Days and Schedule: Work location is primarily at the Tempe campus; however, incumbent may be required to travel to off-campus events and other ASU campuses to perform work driving their own vehicle. This position is a full-time position from Monday thru Friday 8AM to 5PM, evenings and weekends may be occasionally be required. Flexible work arrangements are available in an alternative or hybrid schedule but will be based on the work and the needs of the university and department operations and pending leadership approval.

Essential Duties

  • Monitor a variety of account expenditures, maintains and reconciles detailed budgets for various accounts, advises and/or determines which expenditures are within the budget guidelines; informs management of irregularities and proceeds with corrective action.
  • Processes travel reimbursements, purchase of supplies, services, and equipment with use of P Card and other purchasing documents in accordance with established procurement and financial policies.
  • Organize and/or prepares departmental administrative and financial reports; analyzes, summarizes and interprets information; recommends action to be taken.
  • Respond to audit requests and gathers documentation for payroll, pcards, and financial records.
  • Perform or assists with payroll and pcard reconciliations.
  • Perform or assists with activities associated with timecard administration to ensure accurate and timely recording of exception and positive time for human resource staff members.
  • May help supervise students employees
  • Use critical thinking to make decisions and/or analyze data
  • Communicate effectively both orally and in writing
  • Work collaboratively within unit to achieve objectives
  • Professionally represent department/program
  • Work collaboratively across various departments within the University as well as with diverse populations and groups

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Demonstrated knowledge of basic principles, practices and methods of accounting, budgeting, and inventory management.
  • Experience in performing detailed and complex numerical computations and reports, including analysis and evaluation of budgets, planning and other management information systems.
  • Demonstrated knowledge of procedures, methods and forms associated with automated accounting systems.
  • Demonstrated knowledge of PC-based software for spreadsheet, database, email, word processing and presentation applications.
  • Experience in coordinating activities and establishing priorities.
  • Experience in establishing and maintaining effective working relationships.
  • Evidence of effective communication.

Working Environment

  • Sit or stand for prolonged periods of time
  • Use computers effectively – including inputting, reviewing and retrieving information, extended periods of viewing screen and using mouse and keyboard
  • Walk throughout campus for meetings or events, regardless of the weather
  • Climb stairs in locations with no elevator, such as with the mezzanine level of the MU, or Irish Hall
  • Ability to lift 35 lbs.
