Job Description

The Dean of Students is seeking a highly motivated, outgoing, and dynamic Business Operations Specialist. The Business Operations Specialist performs a broad scope of fiscal and human resources duties and provides guidance to staff in support of ASU policies and procedures for the Educational Outreach and Student Services / Dean of Students Office. This position assists with the basic budgeting, planning, organizing, coordinating and oversight of the business operations functions in accordance with established university goals, priorities, timelines, funding limitations and/or other specifications. This position is intended to cover a broad range of responsibilities to support all program areas under the Dean of Students.

The ideal candidate will be self-motivated, have a high attention to detail, possess exceptional organizational and customer service skills, and have the ability to work well in a fast-paced, deadline driven environment. Therefore, experience working with student leaders and student workers is critical to the success of this position.

Days and Schedule: Work location is at the Tempe campus. This position is a full-time position from Monday – Friday 8AM to 5PM

Salary Range

$40,464 – $45,000 per year; DOE

Essential Duties

  • Work collaboratively across various departments within the University as well as with diverse populations and groups
  • Use critical thinking to make decisions and/or analyze data
  • Develop/update budgets and monitor expenditures
  • Complete detailed work with interruptions in a high traffic area
  • Monitor and analyze a variety of account expenditures, maintain and reconcile detailed budgets for various accounts, advise and/or determine which expenditures are within the budget guidelines; inform leadership of irregularities and proceed with corrective action.
  • Purchase supplies and equipment based on department requests with the use of a PCard or within the university Financial Management Systems (Workday, SunRISE), in accordance with established procurement and financial policies.
  • Prepare and process employee reimbursements and journal entries in Workday as requested/needed.
  • Evaluate expenses to ensure compliance with university and department requirements
  • Review and approve PCard verifications in the university Payment Net and Workday.
  • Perform Account and PCard reconciliations
  • Maintain confidential administrative, fiscal, and academic records
  • Research, develop, implement and assess programs
  • Assist with special projects, requiring problem solving, research and recommendation of next steps.
  • Supervise students and/or staff
  • Work collaboratively across various departments within the University as well as with diverse populations and groups
  • Communicate effectively both orally and in writing
  • Perform other duties as assigned to ensure the continuity and compliance of department business operations.

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Demonstrated knowledge of ASU accounting systems, procedures and techniques (Workday preferred)
  • Experience using a financial system, human resource management system and reporting system in a higher education environment (FMS, PeopleSoft and BrassRing preferred)
  • Demonstrated knowledge of ASU travel policies and procedures, specifically within Concur
  • Experience working in a fast-paced environment with competing deadlines
  • Experience working with detailed financial and human resources reconciliations
  • Experience with Microsoft Office (Word, Excel, Outlook and Visio)
  • Experience in customer service
  • Evidence of effective communication skills
  • Experience handling cash, managing a departmental purchasing card and assisting in the operation of a fiscally sound environment
  • Ability to interpret, educate about and enforce university, divisional and department policy
  • Skill in preparing detailed reports on a timely basis.
  • Ability to perform detailed work in an open and shared work space.
  • Ability to supervise student employees.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
  • Frequently required to stand for varying lengths of time and walk moderate distances to perform work
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions
  • Use office equipment including a calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier
  • This position receives regular review of objectives
