Description of Work Unit The Department of Biochemistry & Molecular Biology at CSU offers a high quality research and learning environment. Faculty research accomplishments have been recognized nationally and internationally in the areas of biochemistry and molecular, cellular, and structural biology.
Position Summary This position is a vital member of the Department of Biochemistry and Molecular Biology (BMB) staff, providing comprehensive support to BMB faculty, staff, and students. The focus of this role is to support broad operations spanning finance, travel, purchasing, event planning, building support and customer service. The successful candidate will be detailed oriented and have excellent organization, multi-tasking and communication skills. This position reports to the Assistant to the Chair/Office manager as well as BMB Fiscal Officer which encompasses the Business Operations at BMB.
The position is full-time, in person Monday through Friday.
Required Job Qualifications
  • Bachelor’s degree from an institution of higher education

OR

  • Associate degree and at least 2 years’ full-time professional experience in business operations, finance, HR, event planning, or similar field

OR

  • High School Diploma and at least 4 years’ full-time professional experience in business operations, finance, HR, event planning or similar field

  • Professional experience working in a business operations administrative office and demonstrated skills in customer service
  • Excellent written communication skills
  • Demonstrated proficiency with Microsoft Office Suite and Adobe
Preferred Job Qualifications
  • Experience working in higher education supporting business operations or administration
  • Experience creating and distributing professional documents
  • Advanced experience with Microsoft Excel including calculations, formulas, and formatting
  • Experience planning and executing events
  • Demonstrated ability to prioritize multiple deadline-driven tasks

Essential Duties

Job Duty Category Business Operations Support
Duty/Responsibility
  • Contribute to the business operations at BMB by working closely with staff, students, faculty and leadership in BMB.
  • Contribute to covering the front office reception duties and providing excellent customer service to faculty, students, staff and visitors when needed.
  • Liaise with CSU operations, faculty, students, and other employees to coordinate events and support the management of the event (ensure vendors and guests are set up and paid, required approvals thru CSU event services and facilities are confirmed, hotel rooms, communicate travel schedules and travel arrangements as needed.
  • Create travel documents in the Kuali system, including pre-approval, reimbursements, and other travel related items. Assess whether expenses are allowable and appropriate according to CSU, state, and federal financial policies and procedures.
  • Create and maintain electronic and paper filing systems for documents.
  • Maintain records according to University record retention policies.
  • Learn safety and security procedures and provide backup building proctor support at BMB.
  • Assist with other business operations support as determined by BMB leadership.

Job Duty Category Financial Support
Duty/Responsibility
  • Enter and track financial documents using Kuali Financial System (KFS), including internal orders, billings, disbursement vouchers, requisitions, cash deposits, etc.
  • Pay invoices and process reimbursements for employees.
  • Route and track electronic documents for signature.
  • Assist Fiscal Officer to manage but not limited to:
  • Capital equipment purchases meet the award guidelines and provides all of the necessary justifications and specifications that meet Federal Uniform Guidance (FUG) rules and regulations.
  • Special Course Fees to ensure all purchases are compliant with the approved budget; monthly accounting; annual review/audit; student refunds; surplus/deficit plan.
  • IAC billings monthly billing; annual UBIT questionnaire; work with director on any business plan and bill rate updates
  • Histone Source deposits, billings, monthly credit card clearing; annual UBIT questionnaire; work with director on any business plan and bill rate updates; year end accruals.
  • Account close outs review/close/void encumbrances on projects that will be closing in the next 90 days.
  • Default and continuation account clearing as needed.

  • Assist the host in event planning and event support including:
  • Purchasing, ordering, and working with vendors or campus partners to ensure proper event procedures are in place
  • Ensure that all vendors and/or Guests are paid in a timely matter

  • Reserve and schedule rooms
  • Ensure appropriate food and/or alcohol approvals
