Position Overview

The Center for Certification and Competency-Based Educations (C3Be) is seeking a business coordinator to support the growing center. C3Be partners with diverse stakeholders including educational institutions, businesses, and organizations to make learning visible through an array of innovative and design-based approaches; the development of innovative maps for teaching and learning, processes for issuing stackable micro-credentials, alignment of systems to allow for credit for prior learning, and transforming the measurement of learning through authentic outcomes-based assessments.

The position will be responsible for managing calendars, events, and activities, coordinating business operations, and organizing human resource activities. 

This position is contingent upon funding.

Job Description

30% – Business Coordination

  • Coordinate and oversee business processes within the Center, including travel, p-card, and Business Services Agreements
  • Coordinate communications and workflows with AAI Central office and Shared Service Center to ensure efficient, timely, and accurate submission of required information
  • Manage day-to-day oversite of Travel, PCard workflows to ensure maximum productivity and adherence to established guidelines and regulations
  • Identify opportunities for business system improvement, recommend changes, and manage implementation 
  • Develop and manage standard operating procedures and provide training to leadership and staff
  • Serve as a liaison between C3Be, AAI Central Office and the SSC
  • Identify and mitigate potential risks and gaps in current financial procedures

30% – Center Operations 

  • Oversee office operations and coordinate day-to-day activities 
  • Manage calendar for director and center activities, using independent judgment, determine what tasks requires immediate attention
  • Maintain records and help develop, revise department policies and procedures 
  • Establish and maintain communications and connections with other departments, offices, or entities, including on-site, hybrid, and/or remote staff

25% – Cost Center Budgets and Invoicing

  • Manage payment of internal invoices associated with C3Be 
  • Collect financial information from various enterprise systems including OAC and HR Pay and convert to data used for organizational budgeting and financial projections on cost centers
  • Liaise with AAI Central Office and SSC regarding monthly budgets for C3Be; reviews all expenses and revenue for accuracy and validity, while maintaining reported projections and provide billing reminders
  • Develop and manage procedures standardizing internal invoicing, ensuring timely invoicing to sponsored projects and maximizing efficiency

10% – Human Resources

  • Act as liaison between department search committees, AAI Central Office, KU HR 
  • Submit job posting to AAI Central Office, arrange advertising for searches, coordinate interviews, and provide new employee departmental orientation

5% – Other

  • Other duties and special projects as assigned

Position Requirements

  • This position allows for on-site, hybrid, or remote work for well-qualified candidates. A remote position may be required to travel to Lawrence up to 4 times a year.
  • This position will require attendance at regularly scheduled meetings, onsite or through web conferencing tools.

Required Qualifications

  • Bachelor’s degree in a related field and 1 year of related experience OR Associate’s degree and 3 years of related experience OR high school diploma and 4 years of related experience
  • Experience with Microsoft Office Suite, SharePoint, and web conferencing tools
  • Attention to detail and excellent written, verbal, and interpersonal communication skills
  • Experience managing multiple projects involving multiple individuals
  • Ability to work in a team environment that includes on-site, hybrid, and remote staff
  • Collaborate with internal teams, cross-functional teams, and external partners
  • Flexibility and willingness to adapt and respond to changes in work priorities and processes

Preferred Qualifications

  • Working knowledge of the University of Kansas financials’ systems and processes 
  • Experience working with government agencies (local, state, federal)
  • Experience with externally-funded projects
