Budget Coordinator – GSAS

The Budget Coordinator assists with the overall administration of Graduate School of Arts and Sciences (GSAS) budgets and operations. The Budget Coordinator reports to the Associate Director for Operations, Administration and Budget. Approximately 75% of this position is budgetary/financial and 25% administrative. 

Major Responsibilties:

  • Coordinate student appointments and employment, ensuring timely processing of all fellowship, teaching fellowship, course assistantship and other appointment payments, including processing of I-9’s (25%)

  • Conduct data entry, processing of student payroll, scholarship and health insurance credits. Update student financial information during the year as necessary. Administer both PhD and Masters research and travel funds. Supports financial components of annual status and funding review for all returning GSAS students. Serve as a resource to departmental administrators and graduate chairs. (25%)

  • Document and implement policies with regard to GSAS student finances.  Monitor and analyze student financial data for accuracy and budgetary compliance by academic programs. Maintain and reconcile four GSAS operating budgets. Collect and analyze data and prepare reports for GSAS budgeting projects. Assist with financial projections and modeling. (25%)

  • Administrative: Manage the admissions in-box and general phone number. Assist with applicant records in Slate. Purchase supplies; assists with website edits; other administrative tasks as assigned. (25%)

Job Description:

  • Physical/Environmental Demands: Office environment/no specific or unusual physical or environmental demands.

  • Bachelor’s degree or equivalent required; Master’s degree preferred.

  • 2-5 years of relevant experience required.

  • Strong analytical, written, verbal, and presentation skills.

  • Exceptional technology skills, including proficiency in Excel. Experience with Workday, PowerFAIDS, Slate, and web-based databases preferred. Ability to prioritize, multitask, and problem solve.
