Athletics Administrative Assistant

The Athletics Administrative Assistant will serve as assistant to the Ford Family Director of Athletics and the Associate Director of Athletics for Staffing and Administration, providing support to the Director’s Office operations, human resources needs, staff events and the senior team.
This is a 1 year benefits eligible term position.
– Provide day-to-day administrative support of Director.
– Plan daily calendar/schedule meetings.
– Coordinate travel plans.
– Serve as gatekeeper to department, through oversight of athletics and director’s office phone
– Oversee/manage athletics phone and director’s office
– Serve as departmental telephone coordinator.
– Maintain electronic filing system
– Identify, compile, create materials and reports for meetings
– Purchase office and meeting supplies.
– Assist with the maintenance of staff database.
– Assist with staff searches including: coordinating travel, preparing interview packets, running reports through iCims, filing search records.
– Assist with the collection of personnel forms that include performance reviews, conflict of interest forms, coach contracts, confidentiality forms and annual certification forms.
– Assist with SharePoint staff site development and updates.
– Update all publications/directories concerning Princeton Athletics staff.
– Assist the associate director with the execution of all departmental staff meetings, receptions, monthly staff newletter, along with special events such as: annual spring, summer, and holiday parties; retirement receptions; staff outings; and assisting with the various Princeton Varsity Club events.
– Provide administrative support to the executive team as needed.
– Other duties as assigned.
– Bachelor’s degree or equivalent.
– Work within the framework of the Department of Athletics administration and coaches.
– Exceptional computer skills.
– Excellent communication skills, both written and oral.
– Ability to carry out complex tasks simultaneously and maintain professional confidentiality.
– Excellent interpersonal and customer service skills.
– Ability to uphold the commitment to Department of Athletics mission of Education Through Athletics.
– Ability to adhere to Ivy League, ECAC and NCAA rules and regulations.
