Asst Dir, Graduate Advising & Student Success

POSITION SUMMARY:

The Assistant Director of Graduate Advising and Student Success serves as the primary support staff for all graduate (masters and doctoral) level students, in consultation with and by providing referrals to other university departments such as academic chairs, academic deans, and vice president, academic affairs, financial aid, and VA School Certifying Officials. The Assistant Director of Graduate Advising and Student Success works to create a culture of learning and support for Capitol students by applying student development theories and advising best practices for adult populations that promote students’ academic and personal success, thereby increasing student satisfaction and student retention.

DUTIES AND RESPONSIBILITIES:

The following are primary duties:

• Maintain systematic and frequent interaction with approximately 500 graduate students required to seek advising and maintain accurate and detailed records of student interactions

• Assist graduate students in selecting appropriate degree programs, developing educational plans to meet degree requirements, and building schedules to meet short term and long-term goals

• Develop and disseminate a monthly newsletter for graduate students to provide timely and relevant information in support of advising and student support

• Monitor Student Information System (SIS) processes/reports for tracking doctoral students from admission to graduation.

• Assist in the development and implementation of graduate student orientation and transition services

• Implement an early alert system for at-risk and academically struggling graduate students and recommend interventions and support

• Serve as an advocate for graduate students

• Work closely with academic departments to develop plans in support of graduate student enrollment

• Coach adult students on academic success skills including time management, priority setting, and communication skills

• Facilitate clear, timely, accurate communication, and maintain documentation regarding registration periods and processes

• Assist doctoral students in navigating university administrative functions and interpreting university policy.

• Other duties as assigned in support of the Office of Student Life and University events and initiatives

POSITION QUALIFICATIONS:

The following are primary qualifications:

• Master’s degree required, terminal degree preferred

• Ability to communicate effectively in writing and orally to an adult and/or online student population

• Ability to facilitate virtual meetings using Zoom

• At least one year in an advising, counseling or coaching

• Strong writing, proof reading and editing skills

• Ability to prioritize work, organize materials and tasks and meet deadlines

• Interest in or understanding of the needs of adult students and supporting online learners

• Strong problem-solving skills – ability to work independently with a high degree of autonomy, demonstrating good judgement and attention to detail

• Flexibility to meet the needs of a changing environment

• Administrative experience.

• Familiarity with Microsoft Word, Excel, and Outlook.

• Demonstrated flexibility, dedication, initiative, confidentiality and the ability to learn.

PHYSICAL DEMANDS: 

Requires sitting, standing and walking occasionally for extended periods of time, and repetitive motions for operating computer mouse and keyboard. Requires ability to push, pull, bend, grasp, and occasionally lift up to 50 lbs. Requires ability to hear and speak to effectively communicate on the telephone, in the online learning environment, and in person. Visual demands: viewing computer monitor and reading.

COMPENSATION AND BENEFITS:

• Salary $57,500 per year

• 14 paid holidays

• 14 earned vacation days per calendar year

• The position is campus based with occasional remote work options after 90 day orientation period
