JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Associate Registrar for Customer Service is responsible for the Customer Service area in the Office of the University Registrar. This position serves as a member of the Assistant Vice President for Enrollment Management and University Registrar’s Administrative Leadership Team and is engaged in strategic planning, decision making, policy development, and problem solving for the Office of the University Registrar for internal and university-wide student service issues.

In collaboration with the other Associate Registrars, this position will provide

critical guidance and recommendations to the Assistant Vice President for Enrollment Management and University Registrar.

The Associate Registrar for Customer Service is responsible for providing leadership in the following areas:

  • Transcript processing

  • Verification and records requests

  • National Student Clearinghouse and Department of Education reporting

  • Liaison with the sponsored programs office

  • Enrollments, re-admits, and offer student services support through phone, email, and in person counter service

This position also provides knowledge requirements of policies and procedures to the department in order to best assist current and former students, the university community, and the public. 

The Associate Registrar will assist with the following:

  • Setting strategic direction and operational goals

  • Monitoring national and global trends, anticipating challenges

  • Identifying solutions to complex situations and emerging issues

  • Identifying opportunities for improved services

Required education, skills, and experience:

Typically requires a Bachelor’s degree or higher plus eight years of related experience, or equivalent combination of education and experience.

The ideal candidate will have a minimum of two to five years of leadership/supervisory experience, preferably in a student-centered Higher Education environment. Candidates with experience in an Office of the Registrar or related university area working with academic information and overseeing operations in a university setting with experience related to registrar functions including customer service, registration, transcript processing, and verification of enrollment will be given preference. The Associate Registrar should also possess knowledge of theory and best practices surrounding student services and have a good understanding of accreditation and certification requirements and standards. Comprehensive knowledge of university regulations and federal/state laws regulating access to academic records (e.g., the Family Educational Rights and Privacy Act) required.

The successful candidate must have:

  • Evidence of excellent analytical and communication skills (including written, oral, and interpersonal)

  • Demonstrated ability to prepare reports and deliver high quality presentations (both internal and external constituencies)

  • A high level of critical and strategic thinking

  • Attention to detail

  • Ability to work collaboratively and build teams as a consensus builder, able to work with many stakeholders throughout the university

  • Ability to solve complex problems and recommend and implement solutions

  • A strong commitment to diversity, equity and inclusion and respect for others

Experience working with computerized student information systems is highly preferred.

The position may at times require the need to work after traditional business hours and on weekends, and with increased time demands during certain periods of the academic calendar and/or when institutional needs due to special circumstances must be met. The office currently has a hybrid work schedule.
