Position Summary:
Reporting to the Associate Dean (Student Affairs), the incumbent will oversee the strategic direction, management, and operations of the McGill Engineering Student Centre (MESC ). In addition to management of the Centre’s team, the Associate Director will oversee the strategic planning of all programs and services within the MESC portfolio, ensuring quality and raising awareness of these programs and services among its broad constituency. Select responsibilities include oversight of undergraduate advising and student affairs services, career advising and education services (including industry liaison/internships and professional development services), the administration of scholarships, fellowships, and awards, the creation and implementation of strategic recruitment initiatives in line with the Faculty’s undergraduate and graduate enrolment objectives, the management of the Faculty’s peer tutoring services, as well as the development and advancement of current and new Faculty initiatives related to the student experience. The Associate Director will also maintain links with all departments/schools within the Faculty, as well as central university units, to attain MESC goals and objectives. This individual will also work collaboratively with colleagues from internal Faculty administrative units such as Finance, HR, and University Advancement, to advance MESC, Faculty of Engineering, and University projects and priorities.
Primary Responsibilities:

  • Manages the activities of MESC in all reporting areas, including supervision of both administrative and management staff, physical space oversight, as well as the outreach and communication processes.
  • Responsible for the human resources of the unit, in collaboration with Faculty HR. Provides guidance and advice on human resources related issues, and ensuring compliance with policies and procedures. Identifies staffing and training needs, ensuring internal equity and the provision of efficient support services. Manages, motivates and supervises team members, including their career development and succession planning.
  • Provides advice on strategic direction of student affairs in the Faculty to the Associate Dean (Student Affairs) overseeing the development, planning, implementation, and continuous improvement of student affairs services, academic advising, and support programs.
  • Serves on internal Faculty committees and as a delegate of the Associate Dean of Student Affairs on university-wide committees.
  • Oversees the management, implementation, and administration of graduate recruitment initiatives/activities within the Faculty, including the Faculty graduate funding programs.
  • Assesses, negotiates, and reviews proposals for Faculty-specific or Bilateral Undergraduate Student Exchange Agreements, Graduate Agreements of Cooperation, or agreements for Undergraduate Research Traineeship partnerships with external universities. Manages key aspects of Agreements for the Faculty by identifying new opportunities, develops relationships with university partners, meets foreign university representatives during delegation visits, determines terms for the agreements, and manages agreement outcomes.
  • Establishes MESC financial priorities with the Associate Dean (Student Affairs), in collaboration with the Faculty’s Finance Office. Authorizes expenditures, audits all accounts, ensures compliance with University and Faculty budget policies and financial procedures.
  • Maintains a collaborative relationship with the Director of Administration, Departmental Chairs, School Directors, as well as Undergraduate and Graduate Program Directors/Administrators/Coordinators within the Faculty units.
  • Oversees the planning, development, and delivery of special events and projects (Discover McGill, Open House, etc.), including representing the Faculty through presentations at these events.
  • Writes reports on the progress of MESC initiatives, and collaborates with University Advancement on proposals to secure funding in support of student scholarships, fellowships, awards, professional development support, and other Faculty priorities
  • Oversees the Empower Initiative relating to personal and professional development and leadership programming and funding, as well as partnership development with external organizations; provides recommendations to Associate Dean for growth and expansion of the initiative; oversees staff and resources related to Empower

Other Qualifying Skills and/or Abilities :

Seeking a dynamic and enthusiastic individual to be the Associate Director of the McGill Engineering Student Centre. Graduate degree preferred. Work experience in university setting with students and/or HR an asset. Demonstrated team-building and leadership capacity. Ability to motivate, lead by example and coach staff as well as collaboratively work with various groups and levels of academics, staff and students, with different mandates and needs. Demonstrated success in building and implementing effective processes and systems, ensuring compliance with laws, rules and regulations. Strong analytical skills, high capacity to creatively solve problems. Excellent organizational and time-management abilities, strong customer service valuing diversity and integrity. Proficiency with computerized applications including spreadsheets, databases, word-processing software, Banner FIS, social media etc. English and French, spoken and written
