Job Summary:

The Interdisciplinary Co-op Education Program at UBC’s Okanagan campus offers students enriched educational experiences for personal and professional growth by working with diverse community partners and sectors to provide transformative workplace learning as part of students’ degree programs.

This position is responsible for assisting with the development, implementation, coordination and evaluation of the Interdisciplinary Co-op Education program at the UBC Okanagan campus. This includes recruiting students and providing counselling to students to prepare for co-op work terms one-on-one and in groups, monitoring student work terms and addressing any workplace issues that students encounter, marketing the program to employers, providing evaluation and analysis of work terms and student success each term, collaborating with other experiential education and community engaged professionals at UBC and throughout the province and the day-to-day administration of the program. This position will work across all disciplines included within the Interdisciplinary Co-op Education Program, including working with the program coordinators, employers and students as required. This position will further enact a commitment to equity, diversity, inclusion and decolonized practice through continued program development and improvement, using an anti-oppressive, anti-racist, gender positive, service equity approach. Work is based on campus. Flexible remote work is an option.

Organizational Status:
This position reports to the Associate Director, Community Relations, Faculty of Management. The coordinator works closely with other co-op coordinators and administrative support staff to meet the needs of the program stakeholders.

Major Responsibilities:

• Responds to recruitment needs of employers and guides them in developing challenging and appropriate co-op learning opportunities; reviews and approves employer job postings to ensure that they meet UBCO Interdisciplinary Co-op Program guidelines. Assists with implementation of annual student recruitment activities. Develops marketing strategies (eg. E-mail, website, newsletters etc.) and designs and writes PowerPoint presentations.
• Assists with job postings and employer follow up.
• May assist other co-op staff in facilitation of activity workshop and information sessions.
• Liaises with other units, departments and faculties to promote co-operative education.
• Assists with layout, design and content of Interdisciplinary Co-op program resources.
• Responsible for maintaining the Interdisciplinary Co-op Program website, the main source for program information by prospective and current students as well as community partners. Manages accuracy, frequent edits and additions ensuring timely execution and the website presence is relevant and up-to-date.
• Project manages and contributes to co-op communications, editing of story content, and story execution/distribution.
• Ensures contact database management practices are followed between Maximizer and Symplicity, particularly for execution of Co-op Community Newsletter (once per term).
• Holds office hours for career counselling and employment coaching to prepare undergraduate students for applying to co-op positions and successful transition to work. Documents all interactions and meetings with students in order to have a comprehensive and shared record within the Co-op Office.
• Evaluates and grades student work term assignments each term.
• Assists with employer/student mid-term check in visits to assess/evaluate student performance in the workplace, and help resolve performance issues, includes problem solving, mediating, and addressing any workplace concerns or issues related to employee discipline, employee rights (including harassment, employment equity, employment standards), intellectual property rights, confidentiality concerns, etc. raised by students and/or employers. Makes recommendations to the Associate Director regarding students’ status in the program as a result of workplace issues.
• Identifies potential wage subsidy programs for Interdisciplinary Co-op employers and advises employers on requirements and availability of programs such as the Student Work Placement Program (SWPP), Canada Summer Jobs, or Innovate BC funding.
• Manages the ISI Co-op Student Wage Subsidy Program, ensuring Interdisciplinary Co-op works in close collaboration to all campus colleagues, and continues as the unit administratively responsible for the grant adjudication process.
• Ensures students going abroad on co-op terms are compliant with the Student Safety Abroad policy, including monitoring registration in Safety Abroad Database and completion of pre-departure modules in coordination with the Safety Abroad Advisors at Go Global.
• Organizes student pre-employment workshops and activities with the Co-op Coordinators and Associate Director.
• Performs other related duties as required.

Impact of decisions:

This position represents UBCO Interdisciplinary Co-op and the associated Faculties. Incorrect decision would adversely affect the reputation of the Co-op program, and could prevent the program from achieving its targets. The reputation of other UBC co-op and career programs and of the faculties and university generally would also be harmed by poor decisions. Failure to deliver effective and timely service to employers could result in a loss of industry support, which would seriously damage the program. Failure to equip students for the workplace and to give sound advice to both students and employers could lead to significant personal and professional challenges.

Supervision Received:

Reports to the Associate Director, Interdisciplinary Co-op Education. Works independently within constraints of policy and the administrative and program operational framework. Work subject to review in relation to program goals.

Supervision Given:

Delegates and reviews the work of any student assistants and administrative support. May hire and manage student staff and contract work performed by outside suppliers such as caterers.

Qualifications:

Minimum

• Undergraduate degree in a relevant discipline.
• Minimum of two years’ experience or the equivalent combination of education and experience.

Preferred

• Demonstrated interpersonal skills to build and maintain productive working relationships with internal and external stakeholders.
• Excellent oral and written communication skills, and exceptional organizational skills.
• A passion for creating transformational workplace learning experiences for students, and a demonstrated ability to take initiative and work independently as well as with a team is essential.
• Ability to act with tact, diplomacy and discretion with a wide range of internal and external partners and stakeholders.
• Experience with university student career development preferred.
• Computer experience with Microsoft Office and website suite preferred.
• Experience working with Indigenous peoples/organizations, people with diverse abilities, and people of colour in post-secondary education.
• Proven sensibility and appreciation of the role that gender, race, disability, gender identity, sexuality, social background play in the experience of students.
• Demonstrated ability to take initiative and work independently as well as with a team is essential.
• Ability to exercise judgement, and work effectively under pressure to manage multiple priorities.
• Experience in coordinating and planning workshops, conferences or similar events.
• Fluency in a second language and experience with international employers an asset.
• Must have access to private vehicle for regional travel.
• This position will be required to work at times in the evenings and on weekends.
