Since 1896 the School of Dental Medicine has been educating dental professionals and oral health researchers to serve communities both in our region and beyond. The Assistant is an integral part of the Dean’s Office and the School of Dental Medicine as a whole. The School of Dental Medicine is seeking an administrative assistant to serve as the first point of contact for callers and visitors to the Office of the Dean. The individual will provide overall administrative support to the Office of the Dean, the Executive Dean for Strategic Development and Operations, the Office of Clinical Affairs, and other areas as assigned.
Administrative tasks include: provide high lever clerical and administrative support to the Executive Dean of the School, and serves as coordinator of meetings, activities, and events involving the executive Dean, the Office of the Dean, and other leadership within the Office. Responsible for managing and maintaining The Executive Dean’s schedule. Develop and implement effective, streamline workflows and process management for the Dean’s Office. Provide administrative support for the Office of the Dean, including supply and equipment purchasing, food orders, room scheduling, completion of annual projects/updates, and otherwise supporting smooth operations. Responsible for highly sensitive correspondence, administrative reports, and other documents. Provides administrative support to the Office of Clinical Affairs. Greeting and directing callers and visitors as appropriate. Collect/distribute mail and deliveries. Organize office files. Purchase office supplies and equipment. Maintain an orderly office environment. Submit travel arrangements and reimbursement requests.
We seek an innovative individual with the following qualifications: excellent oral and written communication skills. Problem-solving ability and poise required to deal effectively with challenges. Knowledge of office practice and procedures. Must be highly organized, detailed oriented, self-motivated, and have the ability to maintain strict confidentiality. Demonstrated ability to respond effectively to rapidly changing workloads and priorities.
Thorough knowledge of Microsoft Office programs. Excellent interpersonal, organizational, communication, and general administrative skills. Bachelor’s degree preferred. Previous experience in high-level office environment preferred. Will consider HS diploma/GED with 10 years of administrative experience. Basic understanding of purchasing/accounting a plus.
