Assistant to Director/Purchasing Agent
Med-Drug Discovery Institute – Pennsylvania-Pittsburgh – (22008423)
This position will independently manage the administrative responsibilities of the Drug Discovery Institute and will report to the Director of the Institute. Human Resource activities will include all Talent Center/PittSource functions (posting, job descriptions, promotions, terminations); managing recruitment process; updating and processing of employment records; coordinate faculty performance evaluations; coordinate staff annual performance reviews; coordinate training for UPDDI faculty and staff; coordinate staff orientation and departures.
Administrative activities will included monitoring and prioritizing Director’s email; managing Director’s calendar; maintaining Director’s Biosketch, CV and Other Support documents; scheduling travel for the Institute; coordinating/scheduling meetings and conference room calendar; daily management of office functions; preparing requests for disbursements; process T&B’s for all UPDDI personnel; interface with building management and University facilities management and maintenance as needed; other tasks as defined. Purchasing activities will include purchasing of Institute lab and office supplies in PantherExpress. Tasks could include, but are not limited to purchasing, vendor interaction, financial spreadsheet data entry, tracking actual expenditures to budget. In addition, the incumbent will track inventory to be sure the lab and office has adequate supplies.
Bachelor’s degree with one to two years of experience. Equivalent combination of education and experience may be substitued per University guidelines.
