Assistant Supervisor Accounts Payable

Position Summary:
Under the supervision of the Supervisor, Expense Payment Services, the incumbent shall administer and perform tasks associated with the management of Accounts Payable as per the University’s Procure to Pay Policy, Payment Request Policy & Procedures, and all university related policies.   The incumbent will directly support the daily operations of accounts payable desk, such as the processing of invoices, and payment requests. The Assistant Supervisor shall be responsible as the subject matter expert for all AP related issues and act as an advisor to provide expertise and guidance to all of the McGill community.
Primary Responsibilities:

  • Supervise a staff of 10 permanent employees and 2 temporary employees; Train all staff and monitor their productivity
  • Perform and/or organize activities to support the daily operations of the Accounts Payable unit by ensuring that accounting administration functions are carried out in accordance with established goals and objectives.  Ensure both supplier and customer (i.e. McGill Community) delivered turn-around times are met and communicate backlogs to Supervisor, Expense Payment Services
  • Manage daily exception queues in MMP to ensure invoices are processed correctly and on a timely basis. Oversee a high volume of supplier invoices ensuring adherence to internal and external accounting policies and procedures, Commodity tax laws and contract obligations
  • Review certain control reports daily such as daily holds, no image report and completed wires, etc).  Review and approve daily wires up to $50K.
  • Main point of contact for escalated outstanding payment issues and exercising judgment regarding interpretation of McGill policies
  • Provide ongoing support to Supervisor, Expense Payment Services and participate in special projects pertaining to MMP, Automation of Payment Request, etc.
  • Also must act as backup to other Assistant Supervisors in EPS pertaining to PCard and Travel and field all of staff’s questions.

Other Qualifying Skills and/or Abilities

In-depth knowledge of all McGill pertinent polices and experience supervising staff. Ability to communicate well with other units involving investigation and problem-solving. Proven ability to work well under pressure to meet deadlines. Demonstrated financial analytical skills. Ability to administer multiple activities and projects. Demonstrated ability to work in a PC environment using advanced spreadsheet skills, databases, as well as experience with MMP, Minerva, Banner (FIS) and Crystal Reports. Proven ability to work autonomously and as part of a team. Demonstrated ability to troubleshoot, solve problems, take initiative, and prioritize workload. Familiarity with academic and support staff and student regulations.

(MPEX Grade 02) $47,030.00 – $58,790.00 – $70,550.00
