Job Summary:

Reporting to the Associate Registrar, the Assistant Registrar is responsible for the performance of a variety of complex, timely, and technical tasks associated with the maintenance and updating of the College’s Student Information System. Essential duties and responsibilities include coordinating transfer credit evaluation, managing and maintaining physical and digital records, and providing support to the institution.

Minimum Qualifications:

Bachelor’s Degree and 3-5 years of directly relevant experience and progressive responsibility.

Essential Functions:

Coordinates the processing of transfer credit by:

  • Evaluating transfer credit and supervising transfer credit posting
  • Coordinating registration for traditional transfer students
  • Processing permission to take courses at another college
  • Evaluating transfer credit for current students
  • Processing lifework credit
  • Managing the incoming course evaluation requests through the Admission EAB tool.

Manages and maintains the physical and digital records of the Registrar’s Office by:

  • Managing degree plans for adult programs
  • Managing enrollment reporting to the Clearinghouse
  • Ordering diplomas for graduates and overseeing the mailing of diplomas
  • Overseeing the management of our archival records and warehouse facility

Provides support to the institution by:

  • Collaborating with the Registrar Team to ensure accuracy and currency of tools used in degree tracking and transfer credit evaluating
  • Researching innovation for work processes
  • Consulting with Deans, Chairpersons, Directors, Admissions, and School of Professional Programs to ensure adequate and timely support to students
  • Assisting with registration, freshmen and scheduling
  • Assisting with ordering and distribution of regalia
  • Assisting with management of transcript processing

The Registrar’s Office is responsible for the accuracy, integrity, and security of the education records under the Family Educational Rights and Privacy Act (FERPA).
