NIE is inviting dynamic individuals to join us as an Assistant Manager, Examinations & Graduation to assist in course registration, examination and graduation matters in the Office of Academic Administration and Services. This is a 2-year contract position.

Job Responsibilities

• Schedules the institute’s written examinations to ensure all examinable courses are assigned an examination timeslot and the exam timetable is published in a timely manner.
• Allocates venues and seating for examination candidates.
• Administers the examination including setting up of examination venues and conducting briefings for Chief Invigilators.
• Manage the processing of reasons for absenteeism for written examinations.
• Provide advice to students, academic groups, and programme office for special cases in compliance with policies and procedures and ensure that appropriate approvals are obtained for exceptional cases.
• Manages full scope of prizes and awards work including setting up of criteria and purchasing of medals and prizes.
• Assists Selection Boards in conducting interviews and selections.
• Organise the Teachers’ Investiture Ceremony and the graduation ceremonies for Leadership programmes, including procurement of vendor service, procurement for supply of graduation gown, finding suitable venue and catering of refreshments.
• Responsible for printing certificates and transcripts including procurement of printer service.
• Responsible for issuance of digital credentials for graduates.
• Maintain the Student Management system modules related to the job responsibilities.
• Any other duties that may be assigned from time to time.

Requirements:

• At least a bachelor’s degree.
• Minimum 2 years of administrative experience, preferably in an education institution.  Experience in the operations and management of a range of academic programmes, particularly in the areas of examinations, prizes and awards and graduation would be advantageous.
• Experience in Minutes-taking and report-writing.
• Experience in systems development and implementation cycles as a user would be advantageous.
• Meticulous, strong organisational and problem-solving skills.
• IT savvy and proficient in Microsoft Office applications especially Excel.
• Strong analytical skills with the ability to collect, organize and analyze significant amounts of information with attention to detail and accuracy.
• Ability to prioritize work, meet deadlines and produce quality results on time with attention to details.
• Excellent interpersonal and communication skills.
• Strong command of English.
• Ability to work independently and as a good team player.
• Works well with prospective students, students, and academic staff.
• Willing to complete professional development courses for Student Services Professionals.

Working Hours

Mondays – Thursdays: 8.30 am – 5.45 pm

Fridays: 8.30 am – 5.15 pm
